Job Description:

This position provides administrative and programmatic management and support to the Program Director(s) and trainees involved in the Translational Science Training (TST) Program, a T32 program that supports pre and postdoctoral trainees. This position also provides administrative support to the Office of Research Education and Mentoring. The Program Coordinator will coordinate all aspects of the TST Program. The Program Coordinator will also assist the OREM Project Coordinator, as requested.

  • Be able to professionally interact with a diverse group of students, faculty, postdoctoral fellows, and staff at multiple institutions and oversight agencies
  • Be able to work as a member of a team, and independently, as the situation demands
  • Be able to maintain sensitive and confidential information
  • Have proficiency in Microsoft Office; additional computer, online, or social media proficiencies are a plus

Job Duties:

Program Coordinator :

  • Assists TST Directors to accomplish programmatic goals
  • Assists with maintenance and updating of data and materials related to the administration of the TST Program
  • Maintains the TST website
  • Prepares financial reports and maintain records
  • Provides support to the application, selection, and appointment process for the TST Program
  • Assists the TST Directors with NIH eRA Commons, NIH appointments, and termination reporting
  • Maintains TST records of trainee-related activities
  • Develops and maintains databases, spreadsheets, and attendance records, and tracks trainee outcomes for all trainees (current and alumni). Track trainee progress, publications, presentation, awards, grants, positions held, programmatic outcomes, and demographic data.
  • Assists in the preparation of annual NIH progress reports
  • Tracks and coordinates all trainee travel requests
  • Responsible for trainee travel reimbursements
  • Coordinates appointment, stipend, benefits, tuition and fees payments with trainees’ home departments and other entities
  • Processes orders as needed by trainees

Office of Research Education and Mentoring Administrative Support :

  • Data entry of OREM programmatic outcomes
  • Assists with OREM travel requisitions and reimbursements
  • Marketing/advertising – brochures, flyers, social media, banners
  • Provides assistance with room scheduling
  • Event assistance
  • Process purchase orders
  • Creation of handbooks as required

Education:

Bachelor's degree in Education or related field is required

Experience:

Three (3) years related experience is required.
