The Department of Medicine (DoM) is the largest department within the UCSD School of Medicine (SoM) and is responsible for fulfilling its teaching, research, and clinical missions. DoM employees approximately 500 salaried faculty, nearly 200 academic appointees, and more than 300 residents, fellows, and postdocs, supported by almost 1,000 staff members. The Chair Office functions within DoM Administration and interfaces with staff and faculty throughout the department, SoM, campus, and Health System regarding operational matters.

This position will be in the department of Pulmonary, Critical Care and Sleep Medicine (PCCSM). Most of the research done in this particular laboratory is in ICU and Sleep Research. Under supervision of Clinical Research Supervisor II, provides administrative support to the team including, Principal Investigator (PI) CoI's, and coordinators. Attends meetings and scientific discussions for current projects and manuscripts in process. Creates PowerPoint presentations, maintains meeting agenda notes, establishes research agendas and functions as a liaison with other sites to discuss research logistics. Incumbent will be responsible for maintaining calendars, processing subject reimbursements and updating confidential files. Scheduling research subjects, making daily reminder calls. Will respond to a variety of information requests and disseminate information through telephone and electronic communications. Interact professionally and courteously with faculty, division staff, hospital and clinic personnel, and campus personnel.

  • Ability to work independently, exercise judgment and follow written and oral instructions.

  • Skill to organize workload amidst shifting priorities while working under pressure to meet frequent deadlines.

  • Skill to organize and schedule meetings, functions and interviews with numerous participants and maintain electronic calendar for multiple physicians.

  • Skill to use word processing and slide making software programs (Microsoft Word, PowerPoint, preferred).

  • Proofreading and editing skills, including knowledge of correct English usage, spelling, grammar and punctuation.

  • Excellent interpersonal and communication skills to effectively interact with all levels of personnel with tact and diplomacy.

  • Ability to maintain strict confidentiality.

  • Knowledge of scientific and medical terminology.

  • Knowledge of UCSD and academic personnel systems.

  • Skill to make travel arrangements and arrange for reimbursement.

  • Employment is subject to a criminal background check and pre-employment physical.

  • Must have access to reliable transportation. Hours are variable.


Pay Transparency Act Full Salary Range: $33,900 - $66,962 Annually

The University of California, San Diego is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is defined as the Full Pay Range. The budgeted salary or hourly range that the University reasonably expects to pay for this position defined as the Expected Pay Scale. Placement within the Expected Pay Scale is determined by internal equity, relevant qualifications, and collective bargaining agreements (when applicable).
