About the Department

The Graduate School provides leadership for graduate education at NC State University. This includes leadership in recruiting, admitting, enrolling, retaining, and graduating master’s and doctoral students. Graduate School personnel oversee the quality of graduate education, develop and implement policies and procedures, interact with external constituencies, and provide valuable services related to graduate education.

Essential Job Duties

This position will serve as an admissions processor and expert on admissions procedures and international documentation review and clearance for the Graduate School. They will provide customer service to all Graduate School visitors and therefore must be knowledgeable on all areas of support provided by our 30+ staff members. They will assist with inquiries that are received by phone, email, walk-in, chat, etc. They will have the primary responsibility to process official transcripts sent by mail and electronic delivery services.

Other duties include:
  • Utilize Slate, our admissions application and CRM, to troubleshoot and assist departments, prospects, and applicants with admissions application inquiries
  • Responsible for scanning and matching all documents received in the Graduate School into OnBase, our document management system
  • Independently assesses the financial responsibility of prospective international students and clears requirements in order for visa paperwork to be processed
  • Responsible for answering the proxy email account for all Graduate School inquiries
  • Processes all graduate course audit forms
  • Receives and processes Inter-Department Transfers (IDTs) and indicates in Slate that the application fee payment has been received
  • Responsible for administering and processing Graduate Faculty requests, as well as updating the graduate catalog to reflect the new grad faculty

Other Responsibilities

  • Responsible for backing up the International Admissions & Recruitment Manager during peak months or as directed by the Director of Admissions

Minimum Experience/Education

Bachelor’s degree; or an equivalent combination of training and experience.
 
All degrees must be received from appropriately accredited institutions.

Preferred Qualifications

  • 1 or more years of experience in a university setting. 
  • Experience in SLATE, MyPack Portal (PeopleSoft), and On-Base. 
  • Intercultural communication skills.
