Montgomery College, Central Services, Office of the President has an immediate need for a full-time Administrative Aide I (R3829). The typical work schedule is Monday-Friday, 8:30am - 5:00pm.  This is a non-exempt, non-bargaining, grade 15 position. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College. This position is not eligible for telework arrangements.

Under the supervision of the Chief of Staff/Chief Strategy Officer, this position provides administrative, technical and secretarial support to the Office of the President and serve as the greeter and liaison for visitors coming to or contacting the Office of the President.

Duties include but are not limited to:

  • Greet and welcome visitors to the Office of the President in a professional manner and ascertain the purpose of their visit.
  • Answer telephone calls to the President’s Office in a professional manner, ascertain the purpose of the call, and then take a message or direct the caller as appropriate. Provide callers with navigation on website to find important resources (registration, financial aid, etc.)
  • Check voicemail messages left for the President’s Office regularly, handle or forward the message as appropriate.
  • Manage copy room, supply rooms, and supplies for the Office of the President.
  • Maintain an inventory of supplies for the Office of the President and keep the rooms orderly.
  • Receive requests for supplies from office personnel and act on them expeditiously.
  • Upon approval, place orders for supplies replenishment and use pay with an issued P-card and verify supplies orders upon delivery and update the supplies inventory.
  • At the direction of the supervisor, regularly review Office of the President web pages to verify accuracy and currency.
  • Manage conference room readiness for meetings and monitor the CT S408 conference room schedule.
  • If requested by a meeting organizer, check that the computer connection for a virtual meeting is activated and working properly (and contact IT for assistance, if necessary).
  • Place catering orders as directed, monitor the arrival of orders, and inform the delivery team of its setup. Following meetings, manage the clean-up as appropriate.
  • Manage mail coming into and going out of the Office of the President and distribute the mail as appropriate.
  • Support general office activities and teamwork.

Required Qualifications:

  • High school diploma or GED including or supplemented by courses in word processing and office practices.
  • One (1) year of progressively responsible experience performing general office and secretarial duties including customer service.
  • Ability to exercise confidentiality.
  • Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship.

  • Strong interpersonal skills
  • Excellent communication skills, verbally and written

Hiring Range: $18.01 to $22.51 per hour.  Initial salary placement is based on candidate experience and internal equity.
