We invite you to consider joining our team as a Human Resources Administer 1 (HRA) in the School of Medicine Human Resources Cluster (HRC). The HRA role is a critical position providing HR administrative support to a group of client departments within the departments supported by the HRC team. This position will have immense exposure in partnering with local HR partners and using Stanford University’s Human Resource (HR) systems such as PeopleSoft HRIS and Taleo Applicant Tracking while gaining the knowledge as a system expert user. The position is integral in ensuring accuracy and data integrity at the highest level while using Stanford HR systems in a fast-paced environment where it is essential that the HRA work independently while managing the heavy workload and multiple competing projects. The HRA will act as a liaison between local HR partners, faculty and staff in communication with other teams such as Benefits, Compensation, Employee Relations, Payroll, Risk Management and Stanford Leaves.

The HRA will report directly to the Manager, HRC. This position will be based at the Stanford Redwood City campus (https://redwoodcity.stanford.edu/ ) and will be considered as a hybrid of working on-site and off-site.

Duties include:

  • Serve as a resource on human resources issues, effectively communicate human resources policies, and explain human resources processes and procedures. Resolve basic issues as appropriate. Refer other issues to human resources manager/director or supervisor for resolution.
  • Coordinate the recruitment process, including job postings, interview scheduling, and applicant disposition with hiring managers, human resources staff, and/or supervisors.
  • Support and coordinate employment activities (transactions and documentation). Assist in onboarding and exit process of staff.
  • May support the process (transactions and documentation) for academic and staff appointments/reappointments and student/postdoctoral appointments.
  • Coordinate and/or perform HRIS data management activities, including initiating transactions and running reports for compliance, audit, and metrics purposes. Ensure data integrity, and serve as primary contact for identifying and resolving pay issues. May perform time and leave administration duties and input data to financial system.
  • Explain applicable disability and leave procedures, and generate related correspondence; update and maintain reports to track leaves.
  • Assist in the communication of the annual performance appraisal process; review and track incoming performance appraisal forms.
  • Maintain personnel and human resources related files.
  • Provide general administrative support for human resources staff.

DESIRED QUALIFICATIONS:

  • Bachelor’s Degree preferred.
  • Previous and/or current experience working with HR and/or Payroll systems: PeopleSoft HRIS, Taleo Applicant Tracking System, HireRight Background Checks, Time and Leave System/Employee self-service portal.
  • Experience working in a centralized HR unit and hands-on experience with HRIS platforms.
  • Comfortable using Excel on a daily basis for reporting and auditing of daily tasks.
  • Experience with payroll calculations such as vacation payouts, retro salary differentials and termination accrual payouts.

EDUCATION & EXPERIENCE (REQUIRED):
Associate degree and two years of relevant experience, or a combination of education and relevant experience.

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

  • Strong attention to detail and accuracy.
  • Ability to learn and apply general human resources policies using problem solving skills.
  • Demonstrated ability to maintain confidentiality and effectively handle highly sensitive and personal information with sound judgment, tact, and discretion.
  • Ability to consistently follow through with projects and assignments and meet deadlines.
  • Excellent oral and written communication skills.
  • Strong and effective interpersonal and customer service skills.
  • Strong computer skills, including Microsoft Office suite (Outlook, Word, Excel, and PowerPoint). Familiarity with human resource management systems, such as PeopleSoft and time/leave systems. Experience using email and internet.

PHYSICAL REQUIREMENTS*:

  • Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone.
  • Occasionally write by hand, twist/bend/stoop/squat, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, lift/carry/push/pull objects that weigh up to 10 pounds, sort/file paperwork.
  • Rarely kneel/crawl, operate foot and/or hand controls.

WORKING CONDITIONS:
Travel on campus to schools/units, out of town.

Additional WORKING CONDITIONS:
Extended hours during peak periods, fiscal year-end, calendar-year end and pay period-end deadlines.

The expected pay range for this position is $62,000 to $80,000 per annum.
Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
