Overview

This position is considered remote, up to 1 day in the office at 10 Brookline Place, Brookline, MA each week. DFCI guidelines state that employees must reside in Massachusetts, New Hampshire, or Rhode Island.

 

GENERAL SUMMARY: 

The Donor Services Specialist is responsible for completing various donor and fundraising team requests in a timely manner, including ensuring donor preferences and personal information is accurate and complete in all gift databases. Additionally, the Donor Services Specialist is responsible for helping to manage DFCI’s Division of Philanthropy’s matching gift program including communicating with company donors and verifying gift requests on a regular basis. Responsible for assisting the entire Division with reaching financial goals.

Responsibilities

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Verifies matching gifts through online web portals and offline request forms on a daily basis;
  • Manages the Division of Philanthropy’s matching gift program in collaboration with the Donor Services Coordinator, including creation and ownership of materials and instructions;
  • Processes opt-out requests from donors in Philanthropy’s donor database on a regular basis;
  • Regularly sorts & forwards returned mail, as well as completes donor requests received by mail (e.g. address changes and/or name changes);
  • Works together with the Donor Services Coordinator and Director, Event Compliance & Data Integrity on the handling of gift-related inquiries;
  • Assists with coverage of the Donor Services inbox, providing support for both email inquiries and phone coverage as needed;
  • Assists with custom letters including both donor acknowledgements and tribute notification letters;
  • Completes ad-hoc projects and provides administrative support related to Donor Services;
  • Assists with making gift-related edits within the ClearView gift database;
  • Periodically may be called upon to assist the Data Integrity team with gift proofing, training, and merge requests on an ongoing basis as needed;
  • Responsible for assisting the entire Division with reaching financial goals; and
  • Maintains highest level of donor confidentiality and accountability. 

SUPERVISORY RESPONSIBILITIES:

Reports to the Director, Event Compliance & Data Integrity for Fiscal & Regulatory Management. Seeks major decision-making authority from supervisor.

Qualifications

MINIMUM JOB QUALIFICATIONS:

Bachelor’s degree preferred, with 1-3 years of professional experience.

 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

Demonstrated ability to handle inquiries courteously and efficiently in compliance with defined standards. Ability to complete data input and gift processing tasks with efficiency and accuracy in compliance with DFCI standards.  Detail-oriented team player who is dependable with excellent verbal, written, organizational, and problem-solving skills. Knowledge of the ClearView donor/gift database, and familiarity with Microsoft Outlook, Word, and Excel essential.

This position will evaluate current programs and create and execute approved plans to expand and diversify the donors and participants for the events assigned in order to broaden our donor base and create even more inclusive events. Experience with diverse donors is a plus.

Remote flexibility (up to one day in the office each week). Some evening and weekend work may be required.
