Three years of experience in which clerical work was a major duty.

SUBSTITUTIONS:
Training in a business or clerical-related curriculum in a business school or technical institute will substitute for the required experience on the basis of six months of training for six months of experience for a maximum of one year of the required experience.

Completion of a business or clerical-related curriculum in a business school or technical institute will substitute for a maximum of one year of the required experience.

College training will substitute for the required experience on the basis of 15 semester hours for six months of experience.

NOTE:
Business or technical school training with less than completion will only be credited in six month increments. Similarly, college training will only be credited in 15 semester hour increments.

NOTE:
Any college hours or degree must be from a school accredited by one of the following regional accrediting bodies: the Middle States Commission on Higher Education; the New England Association of Schools and Colleges; the Higher Learning Commission; the Northwest Commission on Colleges and Universities; the Southern Association of Colleges and Schools; and the Western Association of Schools and Colleges.

Position Responsibilities:
 
55% Administrative Coordinator
1. Process of all actions including travel forms, verbal purchase orders, check requests, verbal requisition request, work order forms, facility service calls, and key requests
2. Submit, process and track all hiring packets/forms for graduate assistants and student workers
3. Initiative and track Workday hiring process
4. Coordinate with graduate school (tuition exemption forms, examination forms) for the MS in engineering, the DEN AS-engineering programs, and the graduate Coastal Certificate program
5. Arrange and track room reservations
6. Lift student holds and give class permissions on WebSTAR upon request
7. Request building and lab access for students as per instructor request through the Office of Access Control Supervise office student works
8. Maintain filing system for departments
 
30% Clerical Support
1. Assist College of Engineering students to ensure they receive appropriate supportive services that address and identify all student needs. Route students to appropriate offices
2. Sort departmental mail and packages
3. Answer and route telephone calls. Check departmental front area’s answer machine for messages
4. Collect and route all undergraduate student worker forms
5. Maintain front areas of departmental offices and stock paper for copier, printer, and fax machines
6. Restock the College of Engineering’s forms and request forms from departments on campus
7. Supervise departmental office student workers
8. Back-up timekeeper (biweekly, wage, and student employees). Monitor time and leave for faculty, non-classified, and classified employees. Professional leave balance for employees who have resigned or been terminated
9. Maintain faculty and staff lounge, including ordering coffee, coffee supplies, and water cooler.
10. Assist associate dean in coordinating order of the Engineer, Cap Day, and other special events
11. Aid in maintaining filing systems
 
15% Aid in financial management of COE and departments
1. Deposit funds/checks into UNO Foundation and UNO Accounts
2. Compile student enrollment lists for departments and respective engineering fees generated each semester
3. Generate simple budget reports at regular intervals and at the request of dean and chairs,
4. Initiate budget transfer forms
5. Submit spending freeze exemption forms
6. Initiate travel authorizations and reimbursements for faculty and students
7. Aid in tracking purchasing funding
8. Track student workers’ hours/charges
