Administrative Assistant to the Friends of the Snite Museum Coordinator (Part-time)

Job Description

Part-Time Administrative Assistant to the Friends of the Museum Coordinator. Assist Membership Coordinator by processing membership donations and benefit gifts (both check and credit card gifts); depositing membership and benefit gifts; reviewing DTR for online gifts; maintaining and updating membership records using FileMaker Pro software and membership card files; preparing membership invoices and acknowledgments; process memorial gifts (make a record, deposit and send acknowledgments); prepare month-end reports; count and deposit donation box contents monthly; generate the letters using Word and memos necessary through Word mail merge and other tasks deemed necessary by supervisor.

Occasionally assist with evening and weekend events, such as exhibition receptions; breakfasts, lunch and dinner meetings; and the annual Friends Christmas Benefit Dinner. Includes planning menus, scheduling the A/V tech, ordering chairs, tables, etc.

Order supplies, answer telephone lines, screen, and route calls, and provide information to callers. Open and distribute mail, pull mailing lists, and keep inventory supply.

Create Promotional Materials: Proficiency with software (such as Adobe Creative Cloud) to design flyers, postcards, and pamphlets as needed for membership events.

Run errands to various campus departments in association with administrative assistant duties.

Attend and participate in staff bi-weekly meetings, Friends Board meetings and events, bus trips, receptions, and family events.

Minimum Qualifications

Bachelor’s degree and 1-2 years of experience in a similar position.


Preferred Qualifications

Previous experience with organizing special events and membership programs.

Basic requirements are Word processing, typing, Excel, FileMaker Pro software, Salesforce software, BuyND and Aim, Adobe Cloud Suite software, and professional telephone communications. Preferred qualifications include experience with organizing events and membership programs.
