Job Overview: The Partnership Coordinator works closely with the Partnership Manager to achieve high-quality and compliant programming among partners of the Texas Office for Refugees West (TXOR West) through effective sub?grants management and due diligence. The Partnership Coordinator will build strong, sustainable partners, and provide support in TXOR West’s efforts to monitor the activities of sub?awardees to ensure compliance with IRC’s Partnership Excellence for Equality and Results System (PEERS) and relevant Codes of Federal Regulations. NOTE: The Partnership Coordinator position is eligible for full remote work therefore candidates from ANY US-based location will be considered.


Major Responsibilities:

  • Ensure that all partners’ program results are received, supervised, filed and in compliance with donor objectives and requirements, coordinating with program teams and other units within the IRC. Ensure that partners’ contractual reports are reviewed, and internal feedback is compiled. Advise the Partnership Manager of any issues and provide timely feedback.
  • Lead in drafting sub-award agreements with partners, following the agreement through its life cycle to monitor compliance and facilitating sub-award closeout activities with support from the Partnership Manager.
  • Support in organizing and conducting review meetings with partners, ensuring inputs from program, finance and compliance staff are received and included, meeting minutes taken, filed, and disseminated to Programs Managers and partners. Follow up on the implementation of action points agreed upon during these meetings.
  • Ensure that projects are supervised robustly, following-up on implementation of partner?specific compliance, programmatic monitoring work plans, procurement plans, budget spending, and more. Advise the Partnership Manager and other relevant staff of any issues and provide timely feedback.
  • Provide support in TXOR West’s monitoring of partners by coordinating the development of monitoring tools, communicating monitoring?related information to staff, and facilitating remote and on?site monitoring.
  • Support monitoring visits and coordinate support for partners to address any concerns or issues that may arise. Ensure response and support plans are implemented.
  • Lead monitoring report and Office of Refugee Resettlement report writing efforts with support from the Partnership Manager.
  • Maintain partner files, including filing all appropriate communication and maintaining the Sub?Award Tracker, assembling all requirements throughout the sub?award life cycle (such as scheduled payments, partner results, and special requirements).
  • In collaboration with relevant IRC staff, coordinate inputs and review of sub?award progress for donor reporting and grant review meetings to ensure that donor commitments are met.
  • Collaborate with external partners on working groups as needed.
  • Other related duties as assigned.


Job Requirements:
Education: 4?year college degree in relevant field required. Graduate degree in management, administration or related field desired.


Work Experience: 1?2 years of experience with monitoring & evaluation or grants management and compliance desired.


Demonstrated Skills and Competencies:

  • Attentive to detail.
  • Experience with federal, specifically Office of Refugee Resettlement, funding requirements a plus.
  • Proven ability to contribute both independently and as a key team member.
  • Self? starter with excellent problem?solving skills combined with the proven ability to multi?task, prioritize duties, and manage time effectively.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook); Experience with databases and applications preferred.

Language Skills: Fluency in written and spoken English.


Working Environment:
Standard work environment. Expectation to travel within local Texas community for partner meetings and events. Oversight of staff in remote field sites. Expectation to occasionally travel and participate in meetings throughout the West Texas region and/or statewide.


Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirement
