Assistant Vice President of Finance

North Carolina Symphony

Job Description

The Assistant Vice President of Finance provides accounting, financial reporting and analysis, and oversight of banking, payroll and HRMS accounting functions for the North Carolina Symphony. This position will work closely with the Senior Vice President for Finance, Administration & CFO to achieve goals, serve as a liaison and conduit of information ensuring effective and timely communication between the Department and key internal and external stakeholders, and provide high level financial and accounting support in all areas of work assignments. This position is responsible for the Symphony’s monthly financials, its audit report and Form 990 preparation.

MAOR RESPONSIBILITIES:

A. Management

  • Oversight and management of Accounting and Payroll Manager
  • Direct HRMS work conducted by the Human Resources and Office Systems Manager
  • Supervise Database and Fulfillment Manager for proper contributed income classification per Accounting Standards Update 2016-14

B. Finance – Accounting

  • Monthly Financials – Income Statement for Operating Fund and Balance Sheet (Consolidated for three funds)
  • Prepare and Enter Journal Entries – month-end and year-end close-out
  • Monthly Bank Reconciliation for Operating Bank Account, Section 125 Health Account and Major Gifts Programs Accounts
  • Endowment accounting
  • State of North Carolina (Department of Natural and Cultural Resources) accounting
  • Track and record monthly check logs
  • State sales tax accounting and remittance for ticket sales
  • Monthly and annual depreciation accounting
  • Year-End reporting and accounting for leases
  • Manage year-end closeout and prepare audit report
  • Determine monthly adjustments for deferred income

C. Finance – Earned & Contributed Income Financial, Accounting and Analysis

  • Monthly reconciliation between General Ledger & ARCHTICS Reports
  • Serve as back-up to Database and Fulfillment Manager – to produce & distribute weekly reports to Marketing, Philanthropy & Finance

o Subscription Sales
o Single Sales & Total Sales by Concert
o Summerfest
o Team Monetary Scorecard

  • Review daily EOD spreadsheets to ensure correct GL codes and import into Sage 300
  • Work closely with Box Office Manager and Database and Fulfillment Manager to ensure appropriate GL codes and event names are assigned to all performances and events are built in ARCHTICS
  • Manage League of American Orchestras annual Orchestra Statistical Report
  • Financial Analysis and Reporting

D. Other Responsibilities

  • Manage preparation of Form 990’s for Foundation and Society
  • Staff finance and audit committee meetings along with CFO
  • Serve as back-up for Accounting and Payroll Manager for key responsibilities
  • Serve as back-up for Human Resources and Office Systems Manager for key finance-related responsibilities
  • Set-up new accounts for Cost Accounting
  • Plan and set-up GL account structure and expanded account structure for concert reporting
  • Annually update internal systems and controls documentation
  • Coordination with bank as applicable
  • Manage risk assessment audit in the spring and the fiscal year audit in the summer – working closely with the audit team
  • Staff training as applicable
  • Collaborate with Senior Vice President & CFO on budgeting and projections
  • Monthly update of P&L reports
  • Performs other assignments or responsibilities including concert duty

CANDIDATE REQUIREMENTS:

  • Excellent accounting skills and analytical skills
  • Thorough knowledge of general ledger, accounting and payroll systems and procedures and software applications
  • Ability to manage and complete multiple projects simultaneously with accuracy and timeliness
  • Excellent oral and written communications skills and highly developed organizational skills
  • Proficiency in Microsoft Excel including pivot tables
  • Undergraduate degree with at least 10 years of experience (preference of the non-profit field)
  • CPA or master’s degree in accounting, and/or extensive experience with non-profit organizations, ideally 501(c) (3) and GAAP
  • Management experience

EXPECTED RESULTS:

  • Accurate & timely financials, audit reports, and 990 reports
  • Discrepancies between ARCHTICS (ticket and donation software) and GL are resolved quickly
  • Payroll and Benefits paid accurately administered and paid on schedule
  • Journal Entries entered in a timely fashion
  • Bank Reconciliations will be completed within three business days of receipt of the bank statement
  • Customer service approach to supporting the North Carolina Symphony staff, trustees and public

OTHER CONISDERATIONS: Because driving between worksites and to various locations may be a central function of the position, administrative staff must maintain a valid driver’s license and have reliable transportation.

COVID-19 PROTOCOLS:

Proof of Vaccination: All administrative staff employed with the North Carolina Symphony must provide proof of full COVID-19 vaccination. Full vaccination is defined as two weeks after the date of administration of a one-dose vaccine (Johnson & Johnson) or two weeks after the date of administration of the second dose of a two-dose vaccine (Pfizer, Moderna, AstraZeneca, etc.), and receiving all recommended boosters, when eligible.

This is a full-time salaried position based in the Triangle region of North Carolina. The salary range is $87,450 to $111,099. The North Carolina Symphony is currently operating on a hybrid work structure with onsite and remote work (after first 90 days).
