This position will be hired at the Research Administrator 2 or Research Administrator 3 level depending on the experience of the selected candidate.

Placement within the salary range is determined by internal equity, relevant qualifications, and collective bargaining agreements (when applicable).


This position will work a hybrid schedule which includes a combination of working both onsite in La Jolla and remote.(2 days/week in office)

The UCSD Department of Cellular and Molecular Medicine (CMM) is one of two basic science units in the School of Medicine where world-class researchers study fundamental cellular processes and pathways using a variety of techniques from classical genetics and fluorescence microscopy to high-throughput genomics, systems biology, and crystallography. Our 36 faculty and over 200 postdoctoral scholars, graduate students, and research staff work on the cutting edge of biology, cutting across fields from basic biochemistry and genetics to genomics, systems biology and stem cell biology. If so, the Department of Cellular and Molecular Medicine is looking for a resourceful and self-motivated fiscal analyst to be part of a great business office team in an incredibly supportive work environment. The successful candidate will be ready to partner with a stellar group of researchers and manage their pre- and/or post-award funding portfolios, taking the administrative weight off of their shoulders and allowing them to focus on what really matters - moving science forward.

The department Research Administrator uses accounting skills to independently prepare and manage research proposals, awards and transactions related to contract and grant management, and maintain contract and grant records in compliance with institutional research sponsor policies. Under minimal supervision, the incumbent performs full proposal development, administration, and analytical and strategic reporting for a multi-PI proposal portfolio.

This position requires exceptional customer service skills and the ability to build positive working relationships with both internal and external units that include office colleagues, members of the department, faculty, and central offices. Pre-award support will be required for all funding mechanisms and all sponsors. Assignments may include multiple PIs, department recharge centers, multiple funding sources, multiple institutions, and multiple sites. The post-award research administrator manages proposals and awards of diverse scope where analysis of data requires thorough understanding of complex regulations and requirements. Post-award management includes using strong analytical skills for allocation and expense monitoring, understanding of agency-specific requirements, detailed and timely reporting, and advisement to faculty. The position also supports CMM's annual budget process by providing reports of pending funding and effort.

Under general supervision, the research administrator develops research proposals, awards and / or transactions related to contract and grant management and maintains contract and grant records in compliance with institutional and research sponsor policies. Works on proposals of moderate scope such as single investigator NSF proposals where analysis of financial information or reports requires review of a variety of factors (e.g. budgets, salaries, expenses, etc). Receives assignments on project basis and fully analyzes problems, gathers data and information, and recommends solutions. May be eligible for delegated signature authority. Completes and approves transactions for signature by manager or other authorized institutional official.

  • Bachelor's degree in related area and / or equivalent experience / training.

  • Knowledge of applicable federal, state, local, sponsor and institutional regulations, policies, and guidelines.

  • Knowledge of applicable compliance requirements related to use of human or animal subjects in research, financial conflict of interest, biosafety, etc.

  • Ability to manage a high volume of transactions. Ensure priorities and other deadlines are met. Demonstrated ability to work in pressure situations to meet deadlines and accommodate interruptions. Ability to maintain flexibility to redirect efforts when priorities change. Competence with all transaction functions including purchasing, account reconciliation, accounts payable and receivable systems, and eCERT.

  • Ability to perform moderately complex financial analysis and customized reporting.

  • Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports.

  • Ability to maintain independent judgment; strong organization; communication skills; and a customer service focus.

  • Maintains current knowledge of compliance regulations in all areas of research administration.

  • Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles.

  • Familiarity with Department and Central office staff, student, and laboratory contacts involved in the preparation of proposals.

  • Ability to independently interpret and implement appropriate UCSD and agency policies, procedures, and guidelines.

  • Working knowledge of extramural research proposal preparation with emphasis on NIH and other Health Sciences related funders. Demonstrated expertise in the preparation of all sponsors and funding mechanisms.

  • Ability to maintain independent judgment; strong organization and communication skills; and a customer service focus across broad and diverse subject areas. Ability toanticipate and fulfill customer needs, autonomy, and initiative.Demonstrated problem-solving and organizational skills, with a demonstrated ability to exercisediscretion to solve problems. The employee must be trustworthy and ethical and exhibit a high degree of integrity.

  • Ability to deliver consistently high levels of customer service at all times, and develop successful relationships with both CMM and non-CMM faculty and support staff.

  • Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports. Experience in budget preparation using automated spreadsheet systems.

  • Demonstrated skill in using a variety of computer systems, including spreadsheet, database,word-processing, and Internet systems.

  • Demonstrated expertise with MS Office: Excel,Word, as well as other grant writing automated systems. Skill in math and accurate accounting practices. Adept with fiscal tools.

  • Skill in setting up and maintaining accurate filing systems.

  • Hands on understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment.

  • Ability to evaluate RFP and RFA language of sponsors to diplomatically advise investigators of sponsor requirements.

  • Strong ability to prepare grant budgets of all types.

  • Demonstrated understanding of the grant proposal process from inception to completion.

  • Familiarity with federal, state, and private agency contract and grant regulations.

Pay Transparency Act Full Salary Range: $48,900 - $102,300 Annually

The University of California, San Diego is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is defined as the Full Pay Range. The budgeted salary or hourly range that the University reasonably expects to pay for this position defined as the Expected Pay Scale. Placement within the Expected Pay Scale is determined by internal equity, relevant qualifications, and collective bargaining agreements (when applicable).
