Job Description

Summary

UM-Dearborn’s Chancellor’s Office is seeking one or two student assistants to manage the front desk area and perform miscellaneous clerical duties and high-level project/event tasks as needed.  The student assistant must possess professionalism, discretion, be able to manage multiple tasks and be available to work an average of ten (10) hours per week.

Responsibilities*

Administrative duties include:

  • Answering phones, taking messages and routing callers to the appropriate party for assistance
  • Greeting and assisting visitors
  • Assisting with meeting set-up (i.e., ensure AV equipment is operational, set up beverages, etc)
  • Assisting with travel arrangements and itineraries (i.e., research flights, hotels, create itineraries, etc.)
  • Ensuring office is kept organized and neat
  • General office duties as assigned

Project duties include:

  • Assisting with event planning and execution
  • Assisting with creation of reports, communications and high-level review of documents

Required Qualifications*

  • Impeccable judgment in handling confidential matters and materials
  • Ability to main professional demeanor and attire
  • Customer service skills with answering phones and greeting guests
  • Integrity and professionalism
  • Proficient in Word, Excel and Google Suite
  • Demonstrated organizational skills, taking initiative, multi-tasking, and completing tasks on time

Desired Qualifications*

  • Proficiency in PowerPoint and other presentation software
  • Experience setting up zoom webinars
  • Willingness to learn internal systems

Work Schedule

  • Morning and/or afternoon coverage; days to be determined dependent on schedules and current projects.
