Summary

The Office of Financial Aid (OFA) at the University of Michigan, is looking for a Business Systems Analyst, who will help analyze business processes, and assist with reporting to inform financial aid staff, aid processes and internal research plans. As a member of the analyst team, you will design and execute queries, produce useful reports to support the delivery of aid, help test and troubleshoot, and maintain ongoing operational knowledge of Oracle Campus Solutions or related interface systems. You will also recommend and implement technology-based improvements.

The position will work in a collaborative environment with other BSAs. You will report to the Assistant Director for Support Services.

Reporting to the Provost and Executive Vice President for Academic Affairs, the Office of Enrollment Management (OEM) division provides campus-wide leadership in executing the strategic recruitment, admission, enrollment, new student programs, records management, and student financial aid support functions for the university.

Responsibilities*

  • Accurately interpret management’s intentions concerning financial aid packaging in order to code the financial aid module of PeopleSoft with several hundred packaging formulae.  Ensure formulae is properly programmed and applied; assign financial aid awards and award amounts to each eligible applicant. Ensure packaging formulae is written in adherence to federal regulations and institutional policies.
  • Code the formula that assigns the correct Cost of Attendance figure to each student in the PeopleSoft database. Elements of the Cost of Attendance are defined in federal regulation, when new academic offerings are approved, identify program charges, code the costs into PeopleSoft, and define queries to properly identify new program participants to ensure the participants receive the correct Cost of Attendance allowances.
  • Program the College Board’s net price calculator, which is a federally required consumer information tool that forecasts both the expected cost of attendance, and the user’s estimated aid eligibility.  The net price calculator is one of the most visited sites on the OFA Website.
  • Code PeopleSoft batch computer jobs, including write run-controls, define and schedule job-sets, and monitor systems output to detect unsuccessful production runs.  In collaboration with ITS and other OFA BSAs, work to resolve any issues, while keeping OFA Management informed. Responsible for running Award Disbursement batch jobs that transmits financial aid payments to the Student Account.
  • In concert with ITS and other OFA BSAs, performs new aid year set-up, testing, and roll-over.  Assists ITS with PeopleSoft bundle testing, review, and implementation.
  • Communicate and train OFA Staff regarding financial aid packaging issues, processing methods, batch job schedule changes, and student administration systems issues.
  • Read training materials, review new regulations, participate in webinars and in-person professional development opportunities.

Daily responsibilities:

  • Write queries and analyze reports to monitor processing statuses.  Identify and fix processing problems, and make process improvement recommendations.
  • Write queries and analyze reports to monitor and maintain student aid eligibility; make changes to individual student award records when necessary and when required by federal regulation.  Process production reports daily.
  • Analyze student academic performance to ensure compliance to Satisfactory Academic Progress.  Terminate aid eligibility when necessary.  Issue PeopleSoft ‘negative service indicators’ to individual students as necessary.
  • Receive requests from internal customers for data sets; writes queries, tests, and works with staff to ensure valid output.  Make changes, improvements, and perform re-writes as necessary.
  • Maintain a working knowledge of what others in OFA-Support Services do, and pitch-in to help where backlogs occur.
  • Document new and update existing work procedures in compliance to OFA policies.

Required Qualifications*

  • Bachelor's degree in technology, computer science, business computing or a relared field, or equivalent combination of education, certification, and experience.
  • Minimum five years experience in querying (preferably PeopleSoft Query), working with information systems, and demonstrated ability to pull, combine, and analyze data from multiple sources.
  • Demonstrated intermediate to advance proficiency in Excel such as the ability to create Pivot tables and moderately complex functions and equations.
  • Demonstrated ability to leverage appropriate resources and technical tools to perform day-to-day support tasks.
  • Understand and use relational database concepts.
  • Familiarity in one or more of the following tools - PeopleSoft Student Information System, Business Objects, PS Query, MS Access and Excel, SPSS, HTML, MySQL, FTP, Java, PHP, and Python.
  • Demonstrated ability to effectively communicate verbally and written to both technical and non-technical customers, colleagues, and stakeholders.
  • Demonstrated analytical thinking skills.

Desired Qualifications*

  • Experience in Financial Aid knowledge and regulations.
  • Experience in a University setting, preferably in Financial Aid role.
  • Programming and/or scripting experience
  • Understanding of development, implementation and management of data models & data management as it pertains to managing an application platform.
  • Experience in gathering business process or team procedure requirements and translating them into software configurations.

This position will be filled at the Senior level as the primary goal. The requirements listed reflect the Senior level expectation. However, this may be filled at an intermediate level.
