Position Summary:
 
UCI Graduate Division provides leadership on all graduate education matters. We work with all academic units on campus to ensure that scholars from all over the world can learn, teach, and conduct the highest caliber research while pursuing graduate or postdoctoral training. We promote academic integrity and greater understanding by supplying information, guidance, and support to the campus community and beyond. Our aim is to enhance the educational experience by engaging and leading on all matters related to graduate student life: academic progress and advocacy, fellowships, funding and financial support, diversity, employment, and professional development. The Graduate Division coordinates with other Graduate Divisions across the UC system to ensure high quality educational experiences and promotion of graduate education system and state-wide.
 
Under the supervision of the Postdoctoral and Professional Development Manager, the position is responsible for providing administrative support for the Graduate Division components of the UCI and UC-wide Postdoctoral Scholar Program; and the Graduate Division’s graduate and postdoctoral scholar professional development programming. Major responsibilities include: publicizing funding opportunities for postdocs, researching best practices for postdoctoral scholar services; coordinating professional development programming for graduate students and postdocs, coordinating initiatives designed to acclimate postdocs to UCI, assist with the administration of the campus National Science Foundation Graduate Research Fellowship Program (NSF GRFP) and Fulbright Fellowship.

Required:
 
  • Bachelor s degree or comparable education/work experience.
  • Exceptional organizational skills and attention to detail. Demonstrated ability to develop and maintain professional and effective working relationships with faculty and staff members, students, campus administrators, and professionals in outside agencies and corporations. Demonstrated ability to maintain a high level of confidentiality, professionalism and sensitivity and to use discretion in interacting with various constituencies. Exhibits good judgment, flexibility, and initiative.
  • Demonstrated analytical ability to evaluate and organize data, prepare professional reports, and triage correspondence and tasks. Ability to independently perform research as needed on issues relating to graduate recruitment and retention and postdoctoral affairs. Proven ability to manage event planning, prioritizing activities and responsibilities.
  • Demonstrated ability to work independently and as part of a team. Demonstrated ability to accommodate interruptions, competing deadlines, and changes in priorities. Demonstrated ability to communicate and interact with professionalism, courtesy, and good judgment in person, in writing, and by telephone.
  • Demonstrates judgment and initiative in anticipating needs and resolving problems. Proficiency with Microsoft Outlook, Word, Excel and PowerPoint.

 
Preferred:
 
  • Training with PAL card. Training in the Kuali Financial System.
  • Knowledge of University constituencies, organizational structure, and policies and procedures.

 
Special Conditions Required:
 
  • May be occasionally required to work nights/weekends for events.
