Job Description

The Office of Residential Life is seeking five (5) qualified individuals for the role of Area Summer Coordinator for the 2023 Summer Housing Operation. The Area Summer Coordinators are an integral part of the University of Notre Dame’s summer program as administered by the Office of Residential Life. As members of the University staff, Area Summer Coordinators are responsible for the operations that support the important role of residence hall life for students and guests of the University.

The Area Summer Coordinators work with students, guests, and organizers of Undergraduate and Graduate Student Programs, Sports Camps, Academic and Non-Academic/Mission Related High School Programs, and other conference guests from across the University, United States, and the world. They assist in establishing an environment in the residence halls that is supportive of the educational and professional objectives of the students, conference guests, as well as of the University.

As University representatives, the Area Summer Coordinator must always conduct themselves in an honest, conscientious and professional manner. They are expected to support, enforce, and personally abide by all University and Residential Life regulations and policies as outlined in du Lac, the student handbook, and to interpret them as necessary.

The Area Summer Coordinator responsibilities, opportunities, and collaborations are as follows:

Operational Responsibilities
1. Work with Summer Hall Staff and other Office of Residential Life professional staff members to maintain an environment conducive to communal living, conducting weekly walkthroughs of assigned residential facilities.

2. Oversee the management of a set number of residence halls (upwards of 10) throughout the summer. Each hall will be staffed by Summer Hall Staff student workers.

3. Directly supervise and evaluate Summer Hall Staff in supervised residence halls. This supervision will focus on the fulfillment of the terms of their duties as well as the policies, procedures, and expectations of the Office of Residential Life and the University.

4. Serve as liaison to Building Services, Facilities Operations, and Notre Dame Police and Fire Departments concerning residence hall issues.

5. Be regularly available on campus during business hours of the University and other times as necessary. Area Summer Coordinators maintain regularly scheduled office hours during normal business days to University staff, students and/or guests. 6. Maintain an on-duty presence during nights and weekends in a rotation along with the other Area Summer Coordinators and Summer Hall Directors.

7. Develop and execute procedures of operation that encourage cooperation and a good working relationship between conference staff, guests, Building Services, Maintenance, and other University personnel.

8. Confer regularly with the Residential Life staff about concerns for individuals and/or groups.

9. Oversee bi-weekly payroll approvals, procedures, and policies for student staff.

10. Manage programming budget and submit SAP requests for hall purchases.

11. Maintain flexibility for other duties as assigned by the Assistant Director or other staff members.

University Policy Responsibilities
1. Interpret University and departmental policies and procedures to staff/guests and oversee enforcement in residence halls.

2. Advise and support hall staff in matters of conduct for University expectations of guests.

3. Properly prepare and follow through on reports regarding compliance with University policy.
Staff Development Responsibilities

1. Assist with the design and implementation of orientation and training for Summer Hall Staff.

2. Conduct weekly meetings for summer hall staff assigned to the hall, as well as 1:1 meeting with each student staff member.

3. Coordinate in-service opportunities and trainings for Summer Hall Staff on topics relevant to the summer hall staff position and to student growth and development; plan and execute optional staff bonding opportunities for summer hall staff and summer community assistants

Professional Development Opportunities

1. Work closely with Residential Life administrators on programs and projects encompassing, but not limited to: summer operations, summer room and facility damage assessment, curation of digital materials used for summer operation, summer hall staff resources, evaluation and assessment of goals and objectives of the summer housing operation – including evaluations of trainings and staff performance and development..

2. Gain exposure to StarRez Housing and Conference Management Software as well as increased proficiency in Google and Microsoft products.

3. Attend scheduled meet and greets with Residential Life office staff and various campus partners to learn about other areas in the Division of Student Affairs and at the University of Notre Dame.

4. Complete other duties as assigned by Residential Life staff.


In addition to all the responsibilities listed above, the Area Summer Coordinator will serve in collaboration with two Residential Life staff members in these specific areas of focus in our operation (all will have an opportunity to learn about each of these areas over the course of the summer in general connections). Matches will occur with selected individuals, considering previous experience and current trajectory for a career path. You will have one collaboration in Housing Operations, and another in Residential Life:

Special Instructions to Applicants as it Relates to the ACUHO-I Housing Internship Program
Candidates participating in the ACUHO-I Housing Internship Program Search Process will still need to complete the application for this job posting if offered and accepted through the ACUHO-I process. Candidates selected, offered and accepted through the ACUHO-I Housing Internship Program Search Process will be refunded the ACUHO-I Internship Program Application Fee once they are physically on-campus for the beginning of this work experience.

Minimum Qualifications

  • Completion of a Bachelor’s degree (required)
  • Current Graduate Student enrolled in a master’s degree program specializing in College Student Personnel, Student Affairs, Higher Education Administration, Counseling, Divinity or related field
  • A positive attitude, hard work ethic, team-oriented demeanor, and creative mind are a must. Ability to work in a fast-paced and professional office for Residential Life’s Summer Housing Operation are also required.
  • Excellent verbal and written communication skills are necessary to execute coordination with
    many different departments and leaders across campus.

Preferred Qualifications

  • Applicants should exhibit experience with and/or interest in the area of residential life and housing within higher education.
  • An appreciation for the history of the University of Notre Dame and its mission as a Catholic, Holy Cross educational institution.
  • Previous residence hall staff and/or conference and event staff experience is desired.
  • Preferred availability for summer work assignment is Monday, May 15 – Saturday, August 5. Candidates who are able to serve through Wednesday, August 16 would be a plus.
