Job Description

The W. P. Carey School of Business, Center for Services and Leadership (CSL) is seeking a Program Coordinator to perform work of considerable difficulty in coordinating and directing the activities and functions of a project or program. Independently ensures that the goals and objectives of the project or program are accomplished in accordance with priorities, time limitations, funding limitations or other specifications.

Essential Duties

  • Ensures accuracy of CSL website and work with W. P. Carey, Marketing & Communications and Technology Strategy and Operations teams to make website updates
  • Updates CSL collateral and PowerPoint templates
  • Sends CSL marketing emails
  • Other marketing and social media projects as assigned
  • Administrative point of contact for CSL member projects; schedules meetings with board members and CSL Directors, schedules executive committee members, works on CSL onboarding matters such as letters of agreement and ensuring that bios and photos are received and added to the website
  • Program Manager for the annual CSL’s Compete Through Service Symposium and the bi-annual Strategic Service Institute, Service Process and Innovation Sprint and Services Summit; event planning, operations, programming
  • Serves as program manager for additional programs as needed such as custom programs or board meetings
  • Oversees and directs CSL event operations along with W. P. Carey event coordinator, oversees and determines site selection, catering, schedules, audio visual, etc.
  • Manages program operations and delivery, works with outside vendors as needed
  • Serve as main point of contact for guest speakers, communicates directly, organizes presentations, ensures all deliverables are received on time, manages speakers prior to program and on-site during programs. Ensures programs are delivered on time, serves as main point of contact for the audio-visual director on site
  • Works with business manager to make sure speakers are paid after the event. Maintains an accurate record of who spoke at which event (speaker spreadsheet) along with contact information for future reference
  • Develops and manages event registration process including managing coaching sessions for Sprint
  • Serves as main customer service point of contact for event attendees – registration, attendees communications related to event operations, managing Dropbox or other materials, handling issues during the event
  • Works with Learning Enterprise on event badging process
  • Manages onsite event registration
  • Works with CSL business manager on office management decisions (copiers, following up with vendors and suppliers, etc.)
  • Shares management of student workers with CSL Executive Director
  • Fills in for student worker on various office administrative tasks when they are unavailable or there is a process that can only be authorized by ASU staff
  • Other duties as assigned

Minimum Qualifications

Bachelor's degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Six years of progressively responsible administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Experience working in a higher education environment
  • Experience in Microsoft Office and Adobe software
  • Experience in Event Planning
  • Working knowledge of Aventri, SalesForce, iContact and Qualtrics

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts
  • Ability to clearly communicate to perform essential functions
