The UCLA Health Graduate Administrative Internship Program is an exciting 10-12 week summer program designed to provide qualified young leaders with project work and exposure to a busy academic medical center. You will participate in a variety of professional and learning experiences including but not limited to:

  • Projects scoped and identified by respective department (serving in a variety of roles)
  • Cohort- and team-based projects
  • Experiential learning, shadowing, and tours
  • Journal clubs and intern-led educational sessions

Beyond contributions to individual projects and collaborating with the preceptor, the incumbent will also contribute to the Administrative Internship cohort’s culture and sense of community through active participation, engagement, and fostering an inclusive and supportive environment.

Ambulatory Operations, Community Clinics

Executive Sponsor & Preceptor: Jeffrey Butler – Interim, Chief of Operations, Community Clinics

Overview:
The Ambulatory Operations and Leadership team includes oversight and management of 250+ ambulatory and community clinics, as well as many critical supporting functions, including ambulatory nursing, training and professional development, float pool, patient experience, etc.
Additionally, the newly created Patient Access Organization is a key part of the the overall organization, with the primary focus of "getting the patient to the right service at the right time The intern will work on many operational standardization projects across UCLA Health's ambulatory footprint optimizing the patient, staff, and physician satisfaction. These will include projects such as standardizing the intake and rooming process for all patients, rolling out and optimizing our patient self check-in process, as well as being involved with developing new teams around opening of new clinics and onboarding of new physicians.

Performance Strategy and Analytics

Executive Sponsor & Preceptor: Meng Wei – Chief of Clinical Analytics

Overview:
Performance Strategy and Analytics (PS&A) department delivers high-quality and user-friendly business intelligence products and self-service BI tools to UCLA health stakeholders with the right solutions at the right time. We want to become the go-to team empowering all health system stakeholders with trusted and insightful information through data analysis and internal consultation services that support the mission of UCLA Health. Potential projects include:
  • Identifying ways to optimize the performance of the tableau dashboards with new perspective
  • Building an efficient and useful process to optimize workspace documentation
  • Exploring new simplistic NLP models for practical use

Patient Access Organization - Patient Communication Center

Executive Sponsor: Jeffrey Butler – Interim, Chief of Operations, Community Clinics
Preceptor: Connie Lee – Operations Director

Overview:
The mission of the UCLA Health Patient Access Organization (PAO) is to support strategies and initiatives to help transform and improve patient access into and through UCLA Health with the ultimate goal of ensuring that patients receive care with the right provider at the right time. This internship will provide exposure to, and an understanding of the 3 areas within the PAO: Patient Communication Center (PCC), Quality and Support Services, and Business Systems and Technology. Projects for this Administrative internship will be focused on improving the patient's experience while offering improved efficiencies within the PCC. Potential projects include:
  • Making recommendations for workflow improvements within the PCC
  • Offering data-driven recommendations of how to improve the quality and support of the patient's calls
  • Surveying the current healthcare industry to make recommendations for newest innovations and technologies to adopt that will improve the patient's experience

Budget & Financial Services

Executive Sponsor: Tammy Wallace – Chief Financial Officer, UCLA Hospital System
Preceptor: Annabelle Lerman – Director of Budget & Finance

Overview:
The Budget & Finance office prepares and manages the $3 billion annual operating budget that includes 3 hospitals (Ronald Reagan-UCLA Hospital, Santa Monica-UCLA Hospital, Resnick Neuropsychiatric Hospital), Tiverton House, representing over 600 cost centers. Potential projects include shadowing and participating on resource request review projects: labor, capital, ROI, process improvement projects, and cost reduction projects.

Office of Health Informatics & Analytics (OHIA)

Executive Sponsor: Albert Duntugan – Chief Data Officer, UCLA Health
Preceptor: Pallavi Mynampati – Manager, Business Intelligence Operations

Overview:
The Office of Health Informatics and Analytics (OHIA) serves the data and analytics needs of UCLA Health across the Hospital, Faculty Practice Group and David Geffen School of Medicine. OHIA’s offerings include clinical, financial and quality reporting and analytics, on-demand reporting, self-service reporting, advanced analytics through Big Data solutions and platforms, data extracts, data governance, data integration, data management, data architecture, application integration, and web service integration. Interns will be matched to projects and will collaborate with partners throughout the health sciences to deliver: reporting and visualization products, new technology or data product roll-out, enterprise measure standardization, supporting on-going education, and clinical research enablement.

Patient Navigation and Business Services

Executive Sponsor: Michael Burke – Executive Director, Patient Navigation and Business Services
Preceptor: Jana Lim – Director of Global Strategy & Business Services

Overview:
Patient Navigation and Business Services exists to transform health by:
  • Enhancing access and care coordination to high-quality and top-ranked primary and specialty care at UCLA Health
  • Developing impactful initiatives to heighten awareness of and engagement with UCLA Health

In addition to providing advisory services for outside partners, we collaborate with various departments within UCLA Health to provide navigation services to select patient populations:
  • International Patients
  • Marketing Patient Acquisition Campaigns
  • Underserved Populations
  • Employer Services
  • Community Physician Outreach
  • Remote Second Opinion Teleconsultations
  • Non-oncology, non-matched clinical trial patients
Potential projects include:
  • Development of a clinical quality dashboard for various partner organizations and patient populations with a goal of enhancing transparency and building collaboration and trust with referring partner organizations.
  • Documentation of the international patient journey from multiple stakeholder perspectives including partnership development, financial implications, and patient experience with a goal of improving the overall experience and communicating complexities to internal and external audiences.
  • Planning and facilitation of annual PNBS goal setting retreat.

Performance Excellence

Executive Sponsor: Dr. Robert Cherry – Chief Medical Quality Officer, UCLA Health
Preceptor: Jerome Crawford – Director, Performance Excellence & Chief of Staff to the Office of CMQ

Overview:
The Performance Excellence Specialist provides operations improvement support to UCLA Health by functioning as necessary, as a project manager, facilitator, consultant, and analyst. The Consultant facilitates the assessment of problems, the compilation and analysis of data, the development of improvement teams, the design and collections of metrics, and the facilitation of improvement efforts. The Specialist using Lean and other appropriate improvement approaches to not only support performance improvement, but to implement active daily management approach to sustain performance. The Specialist supports the mission and vision of UCLA Health throughout the organization to include, Reagan, UCLA SMH, Resnick, and all Ambulatory areas. The intern would support a large range of areas to include our institutional goals around access/capacity, quality, and finance.

Operations

Executive Sponsor: Richard Azar – Chief Operating Officer, UCLA Health

Overview:
The Operations Administrative Intern will report to the Chief Operating Officer and Director of Hospital Operations and serve as a member of the Operations Leadership Team. This internship will be project-based and action-oriented while tackling key projects identified by the COO and other senior operational leaders. Projects for this Administrative Intern will expose the intern to a variety of crucial areas in hospital operations. These projects may include patient throughput and flow, labor and productivity, cost benefit analysis and business plans, staff recognition and development, and other topics relating to operational problem solving. Interns may engage on a variety of projects but could include: (1) problem solving and identifying root cause opportunities for labor management / productivity enhancement; (2) supporting service line clinical integrations, and (3) other projects at the interest of the graduate Administrative Intern.

UCLA Santa Monica Administration

Executive Sponsor: Janet Rimicci – Senior Director, UCLA Santa Monica Medical Center

Overview:
The Santa Monica Administrative Intern would be located within the UCLA Santa Monica Medical Center's Administrative Suite. The intern will work on initiatives with the Executive Team that are integrated into the operational structure of the Santa Monica Medical Center and Campus and address all facets: patient care, quality, safety, service, revenue cycle, operations and leadership. These initiatives will enhance the intern's skills in strategic planning, business development, financial reporting, data analytics, and process improvement. The Santa Monica Administrative Intern will work on key operational projects as identified by the Executive Administration team. Projects would include, but are not limited to: strategic planning, leadership engagements, operations, patient experience initiatives, and staff engagement activities.

Operative Services

Executive Sponsor: Ron Perez – Senior Director, Perioperative and Operative Services
Preceptor: Sharon Wu – Director of Business Development, Operative Services

Overview:
The Operative Services Administrative Intern would work with the Senior Director, Operative services leadership triad, and other key members of the business analytics team. Operative Services at UCLA Health includes main operating rooms at multiple medical centers, pre- and post-recovery treatment spaces, sterile processing departments, ambulatory surgery centers on campus and in the community, and business analytics functions. Projects will expose the Administrative Intern to business planning, operational design, process improvement, and working on cross-functional teams including with clinical staff. Projects could include various aspects pertained to Operative Services, including business planning, process design, technology implementation, etc.
  • Business planning and market analysis for UCLA Health surgical services
  • Operational efficiency improvement for various operative entities
  • Robotic surgical program expansion and governance

ValU Care Redesign

Executive Sponsor: Manisha Bhayani – Executive Director, Quality and Patient Safety
Preceptor: Erik Kwok, Director – ValU Care Redesign & QIPM

 
Overview:
ValU Care Redesign focuses on redesigning care pathways to achieve the triple aim: increasing outcomes, increasing patient satisfaction, and reducing cost. ValU plays an integral role in UCLA Health's Performance Improvement Infrastructure by leading and facilitating projects and care redesigns that reduce length of stay, excess bed days, and cost. ValU is committed to a data-driven approach when redesigning care pathways but understands that flexibility is often needed when focusing on large redesigns. Potential projects include:
  • Pediatric Transitions of Care: This project focuses on the inpatient to outpatient transition for pediatric patients requiring follow-up appointments in our ambulatory clinics. Currently there is no standard pathway. This project has two major parts: the redesign and optimization of the follow-up order and the standardization of the IP workflow from discharge date determination to follow-up order submission to discharge.
  • Excess Bed Day and Supplies/Implant Reduction: This project focuses on the reduction of implants/supplies using a modified analysis of Vizient's procedural analytics tool as well as the reduction of excess bed days identified using a proprietary opportunities analysis. Services to be engaged (but not necessarily limited to) include Neurosurgery, Spine, and Ortho.

 

Office of Health Equity, Diversity, and Inclusion (HEDI)

Executive Sponsor: Dr. Medell Briggs-Malonson – Chief of Health Equity, Diversity, and Inclusion, UCLA Health
Preceptor: Mikel Whittier – Director, Health Equity, Diversity, and Inclusion

Overview:
The Office of Health Equity, Diversity and Inclusion (OHEDI) is responsible for developing and executing system-wide strategies to strengthen and advance equity, diversity, and inclusion (EDI) among UCLA Health staff, patients, and community. The OHEDI consists of a multidisciplinary team that uses Lean-Six Sigma, data analyses, organizational education and development, and change management principles to advance inclusive excellence, equity and justice within UCLA Health and our communities. Automation is important to infrastructure development and capacity building. A summer intern will have the opportunity to work with the HEDI team to develop automation and standardization of initiatives to better serve UCLA Health employees with a goal to scale participation with affinity groups and cultural observances.

 

Salary Range: $16.25-$45.00 Hourly

 
Qualifications

 

  • Enrollment in an MBA, MHA, MPH, MSN, MHI or other closely related program with graduation in or after December 2022
  • Strong analytical, organizational, and communication skills
  • Writing and editing skills to prepare grammatically routine business correspondences, such as informal letters, memoranda, and notification letters
  • Computer proficiency and knowledge of on-line processing, web page editing, and a variety of programs, such as Microsoft Office and Tableau
  • Excellent prioritization skills to complete work in a timely manner despite changes in workload or assignment, pressure of deadlines, or competing requirements.
