Academic Program Quality:

Academic Program Quality (APQ) plays a vital role in safeguarding the university’s academic enterprise. To assure confidence among internal and external stakeholders alike, APQ engages in a wide range of academic quality assurance activities that enforce compliance with regulatory requirements and support the continuous quality enhancement of academic programming. We operate not in isolation but in collaboration with partners across the university to provide campus-wide education, to integrate quality assurance into business processes and planning activities, and to develop models of excellence. We are a key resource to our faculty members, staff members, and administrators in support of our common goal of realizing UCF’s promise.

The Opportunity:

The Academic Compliance Specialist I coordinates university-wide compliance, reporting, and other quality assurance activities that support, promote, and monitor institutional and program performance relative to internal and external (e.g., state, accreditor, federal) academic quality standards and the pursuit of continuous improvement. Opportunity for remote/hybrid work.

Responsibilities:  

Faculty Teaching Qualifications

  • Assist the Faculty Qualifications Management System (FQMS) Administrator in executing related activities:

  • Conduct preliminary Academic Affairs review of faculty teaching certifications in the FQMS to confirm completeness.

  • Assist the FQMS administrator with managing user security and setup tables.

  • Assist the FQMS administrator with troubleshooting system errors and testing solutions.

  • Assist the FQMS administrator with end user trainings, including the development and maintenance of informational and training resources.

  • Assist the FQMS administrator in updating policy documents for each academic unit (i.e., discipline descriptions) that articulate teaching qualifications standards for the fields represented.

  • Advise end users on applicable policy requirements and provide end user technical support.

  • Assist the FQMS administrator in conducting audits to ensure appropriate teaching certifications are on file for all instructors of record.

  • Assist the FQMS administrator in tracking and reviewing faculty qualifications documentation for dual degree and other programs and partnerships requiring evidence of appropriate faculty qualifications.

  • Provide support for the development, testing, and deployment of a new Faculty Qualifications Management System that is compatible with the university’s ERP migration to Workday and other faculty data management system(s).

Faculty Member and Postdoctoral Scholar Degree Data

  • Serve as the primary custodian of faculty member and postdoctoral scholar degree data.

  • Review and validate requests for degree data updates; coordinate with business centers and other stakeholders as required.

  • Verify provision of official academic transcripts and US equivalency evaluations.

  • Maintain archive of academic transcript and equivalency evaluation documentation.

  • Advise and train business center personnel, academic units, and others on university protocols for submitting official credentials.

  • Collaborate with UCF IT and Knight Vision Core and Compensation Lead to request updates to degree data setup tables as needed.

  • Conduct regular audits to ensure degree data completeness and accuracy for external reporting (e.g., state, federal, accreditor, rankings surveys).

Support for Additional Academic Oversight, Coordination, and Alignment Activities

  • Provide assistance in the coordination of cyclical and ad hoc compliance and quality enhancement activities including, but not limited to, the following:

  • State-mandated (seven-year) academic program reviews.

  • Various academic oversight reviews (e.g., inactive program status reviews).

  • Annual collection and qualifications review of academic program coordinators/directors.

  • Updates to assigned course Classification of Instructional Programs (CIP) codes.

  • Assigning faculty member and postdoctoral scholar primary CIP codes for reporting and analyses.

Other Academic Compliance and Quality Enhancement Support

  • Conduct research and analyses to support APQ activities.

  • Assist in the dissemination of compliance information to stakeholders.

  • Assist in developing training tools and programming for APQ functional areas.

  • Assist in collecting information for, preparing, and editing documents for board meetings, external reporting, and other executive audiences.

  • Assist with planning and executing unit events, accreditor site visits, and related activities.

  • Manage record keeping in primary areas of responsibility and others as assigned.

  • Engage in the unit’s institutional effectiveness outcomes assessment process, including reporting results and recommending new areas for continuous improvement.

Minimum Qualifications:  

Bachelor's or Master's degree and 0+ years of relevant experience.

Preferred Qualifications

Previous experience working in a higher education setting preferred.
