The Opportunity:

The role of Associate Director, Academic Support Services will oversee the establishment and management of an Office of Postdoctoral Affairs. This position will involve being the point of contact and developing programs/opportunities for this community of researchers including postdocs and their Principal Investigators.

Responsibilities: 

  • Collect, track, and process P3 applications. Manage prioritized P3 PI waitlist and communicate award decisions via formal award letters.  Collaborate with college Business (HR and Finance) Offices and faculty to ensure the successful onboarding of postdoctoral scholars (P3 and non-P3 scholars). Review all postdoctoral scholar hires in Workday. Maintain active postdoctoral scholar reports and work with colleges to renew postdoctoral scholar agreements. Review and update the postdoc handbook and other postdoc guides. Ensure colleges are adhering to university policies related to postdocs and P3. 

  • Assist with oversight and development of the Office of Postdoctoral Affairs.  Draft, review, revise and make recommendations for policies and for developing programs.

  • Develop and distribute communications to postdocs, PIs, UCF community. Some communications are regularly scheduled (DocPost) others are irregular (announcements of upcoming opportunities). Manage  postdoc@ucf.edu email account. Update the postdoc website and dashboard.

  • Network with professional development and other resource groups on campus to ensure that postdocs are aware of and participate in opportunities.

  • Assist in managing a $4.5M budget with CGS Budget Director. Collaborate with the Office of Research to create P3 professional development grant accounts. Maintain a list of all P3 professional development accounts and submit requests to extend accounts as needed. 

  • Partner and collaborate with CGS (Pathways Program), Postdoc Advisory Committee (PDAC), and Postdoctoral Association (PDA) to develop programming for postdocs. Invite external speakers to provide additional expertise to our PD community.

  • Distribute biannual surveys to postdocs and administer and manage annual reports of postdocs, e.g., collecting, collating, and preparing data and reports for upper administration and stakeholders.

  • Organize and facilitate biannual PDAC meetings. Liaise with primary postdoc stakeholders on campus (e.g., CECS, COM, COS, UCF Global, IKM, HR).  

  • Maintain current knowledge of national postdoc activities/movements/policies (e.g., NIH/NSF guidelines) to ensure that the UCF Office of Postdoctoral Affairs/UCF is providing the best training/mentoring for our scholars.

  • Serve as the primary advocate for the postdoctoral community at UCF. Attend relevant meetings at UCF and elsewhere (e.g., National Postdoctoral Association - NPA conference.

  • Assist faculty in developing grants that involve postdocs at UCF. Provide relevant data and information regarding best mentoring practices. May supervise staff in the future as the program continues to grow. 

  • Other duties as assigned.

Minimum Qualifications

Bachelor's or Master's degree and 6+ years of relevant experience with at least 2+ years of leadership experience.

Preferred Qualifications:

  • Experience working in STEMM fields or with STEMM researchers, e.g., in academia, private industry, or government agencies.

  • Graduate-level degree.

  • Experience working with higher education programs.

  • 2+ years of leadership experience.
