Position Summary
Reporting to the Senior Director of Administration and Operations, with a dotted line to the Chief Diversity and Inclusion Officer, this position is a highly collaborative role that will be a key contributor and supporter of the team. The Project Coordinator will provide fast-paced, executive and administrative support to the CDIO and ensure smooth daily administrative operations of the office. The Project Coordinator is an integral part of the operations for the team and will be expected to proactively participate and facilitate team meetings and office gatherings.


Position Description

The Executive Assistant/Project Coordinator will participate in a wide range of projects identified as priorities by the CDIO. These projects span multiple aspects of the organization and include, but are not limited to:

  • Executive assistance for the CDIO and related office administrative management. Including managing calendars, planning, scheduling, and preparing materials for meetings; scheduling and booking travel, composing and distributing meeting minutes; coordinating/planning office events/meetings, maintaining office supplies, coordinating IT/space needs, and processing invoices and expense reports.
  • Coordinating and staffing University-wide committees, networking meetings, and events
  • Drafting correspondence on behalf of the CDIO
  • Conducting high-level research and preparing briefing memos
  • Coordinating event logistics for office meetings
  • Learning and applying diversity, accessibility, and gender-equitable practices to project logistics
  • Support the onboarding of new staff, fellows, and interns
  • Developing an EDIB support-staff network to disseminate resources and policies
  • Supporting the design of office marketing, web, and social media content
  • Triaging and facilitating communication between the office email inbox/phone and the team 

Basic Qualifications

Candidates MUST meet the following basic qualifications in order to be considered for this role: 

  • A minimum of three years of progressive administrative and/or project coordination experience.
  • Computer skills, including Microsoft Office suite of programs (Word, Excel, SharePoint, OneDrive, and Outlook), and Google suite of programs (Google Docs, Google Spreadsheets, and Google Calendar) required
  • Education beyond high school may be applied toward years of experience

Additional Qualifications and Skills

  • Bachelor's Degree is strongly preferred
  • Demonstrated experience handling complex scheduling and prioritizing/executing multiple tasks while meeting deadlines
  • Ability to prioritize and execute multiple tasks and meet deadlines with minimal supervision
  • Able to anticipate principal and stakeholder needs and deliver high levels of customer service
  • Excellent interpersonal skills and ability to communicate professionally with a diverse constituency, including senior administrators, faculty, and students
  • Excellent organizational and creative problem-solving skills
  • Proven ability to work collaboratively and be an effective team player
  • Experience or demonstrated interest in equity, diversity, inclusion, belonging, and antiracism work preferred

Additional Information

This position is based on a 40-hour work week and office hours are 8:30 a.m. – 5:30 p.m. with an unpaid hour off for lunch.

This position may start hybrid (some on-campus/some remote work), with the transition to full-on campus in Cambridge if required by the department.  Work options for this role will be discussed during the interview process.
