Position Focus:

Provide comprehensive federal grants management support (pre-award) to faculty, administrators, staff, and students at YSE. Serve as a subject matter expert on grant submissions, policy and regulations. Review and prepare grant and contract proposals; consult with appropriate managerial staff on exceptions to University policy, including program matching commitments and indirect rates. Coordinate and manage submission of large, multifaceted government-sponsored grant applications for both US-government and non-US government sponsors, involving analysis of and solutions to complex problems related to budgets, regulations, and proposal submission processes for multiple sponsors. Independently identify when YSE, Yale, and government sponsor policies and regulations apply, and provide high-level support and guidance to YSE faculty, staff, and students to ensure compliance with those policies and regulations. Guide faculty and staff through changes in sponsor requirements. Work with investigators to establish clear, individualized grant submission plans. Prepare and compile all components of each grant application, in partnership with investigators, and ensure the proposal is formatted, packaged and complete in accordance with granting agency requirements. Assist researchers in the development of the application budget, ensuring compliance with Yale’s negotiated rates and policies, in partnership and collaboration with the Principal Investigator. Collect and review Biosketches and Other Support documents from collaborators and ensure they are accurate and compliant with federal regulations. Ensure all necessary approvals are obtained prior to the submission deadline, i.e. Conflict of Interest Disclosures, approved cost share documentation, and routine paperwork. Collect subaward paperwork from consortium sites for each application and review for accuracy in collaboration with the Principal Investigator. Work with the Office of Sponsored Projects to address and troubleshoot any revisions that need to be made to the application prior to submission. Assist Principal Investigators with post-submission activities including Just-in-Time requests and revised budgets as well as no-cost-extension requests and non-competing continuation applications. Respond to IRES-generated 60-day compliance notices with updates on proposal status. Instruct YSE masters and doctoral students, and postdoctoral fellows, on the YSE/Yale grant. preparation and submission process during annual orientation and Technical Skills Module presentations. As needed, prioritize, assign, monitor, and approve work of student assistant. Update and distribute upcoming YSE government-sponsored proposal deadlines to YSE Business Office and OSP. Assist with managing the YSE Research Office when the Director is absent.


Essential Duties

1. Independently oversee and lead all financial aspects of a discrete entity, including submission of all tax documentation, communicating with government agencies, and other activities requiring independent discretion and decision making. 2. Drafts preliminary financial sections of proposals. 3. Reviews all proposals for accuracy, completeness, and compliance to grantor and University requirements and regulations. 4. Monitors, controls, and maintains financial activity of accounts. Ensures expenditures are posted to proper accounts. Identifies, researches, and corrects questionable expenditures. 5. Serves as the principal source of information on financial policies and procedures and financial activity. 6. Reconciles and analyzes financial statements. Prepares standardized and specialized financial reports and analyses. 7. Oversees and instructs support staff. Oversees the maintenance of financial records and files. 8. Contributes to the development and implementation of systems and procedures. 9. Assists in calculation of weekly payroll for department staff. 10. May act as lead person in absence of the supervisor. 11. Performs clerical functions incidental to accounting activities.


Required Education and Experience

Two years of related work experience in the same job family and a Bachelor's degree in a related field; or an equivalent combination of experience and education.

Ability to work successfully as both a member of a team and independently with minimal supervision. Ability to provide quality and timely service to constituents.

Proficiency in basic information systems (Word, Excel, Adobe and other database applications) and web
applications (such as Research.Gov, Fastlane).


Preferred Education, Experience and Skills:

Research Administration background at an Institution of Higher Education or an Academic Medical Center. Working knowledge of a Grant Management System, such as InfoEd.
