Job Description Summary:
The Onboarding Specialist will collaborate with other key units across the institution to develop and provide a welcoming, highly organized, comprehensive, and supportive onboarding experience for new employees, beginning with New Employee Orientation through the first year of employment. The Onboarding Specialist is also responsible for creating and offering tools and support to hiring managers to promote best practices related to departmental onboarding activities. They are responsible for delivering an onboarding experience that prioritizes engagement during the first year and employee retention.

Job Description:

Required Qualifications:

  • Education: Bachelor’s degree in Human Resources or related field OR equivalent combination of education and experience
  • Work Experience:
    • Prior experience with onboarding responsibilities, preferably in complex or high-volume environment
    • 2 years of professional work experience
  • Skills:
    • Strong communication, presentation, and public speaking skills
    • Expert skills in Microsoft Office and Teams
    • Keen attention to detail

Preferred Qualifications:

  • Work Experience:
    • Experience with Workday or similar HRIS system
    • Prior role in higher education or healthcare
    • Experience working in a cross-functional/matrixed environment  
    • Familiarity with multimedia content creation
  • Skills:
    • Basic project management
    • Process evaluation and improvement

Job Duties Outlined:

Pre-Hire Preparation

  • Coordinate with HR Assistants to ensure all pre-hire steps have been completed by new employees prior to first day
  • Liaise with departments to ensure new employees are enrolled in New Employee Orientation in a timely manner
  • Communicate key information to new employees prior to their first day of employment

New Employee Orientation & Onboarding

  • Facilitate and host bi-weekly New Employee Orientation session, including coordinating presenters and agenda
  • Partner with Wichita-based HR team to facilitate new employee orientation activities and update on-demand orientation content
  • Initiate and facilitate continuous improvement, including but not limited to content and presenter selection, appropriate mix of live/video vs. on-demand content, and campus-specific needs

Best Practice Development

  • Develop and provide resources and consultation to managers to facilitate best-practice onboarding activities at the department level
  • Partner with other key offices, such as Faculty Affairs and Office of International Programs, to create alignment in a comprehensive onboarding experience
  • Build alignment between onboarding activities and organizational retention strategies

First Year Engagement & Retention

  • Create and implement intermittent touch points with new employees during their first year
  • Ensure effective communication to new employees regarding development programs, campus and community involvement opportunities, and special events
  • Guide new employees to resources for development planning and achieving long-term career goals within the organization
  • Strategize approaches to create meaningful in-person connections on each campus
  • Identify other ways to engage new employees to ensure effective organizational onboarding
