Faculty Affairs Coordinator, Office of the Dean, Viterbi School of Engineering

Job Description


The Office of the Dean in the USC Viterbi School of Engineering seeks a Faculty Affairs Coordinator whose primary responsibility will be faculty appointments and promotions at the school. This position supports the Vice Dean for Faculty Affairs, works closely with the Dean, Vice Deans, and Department Chairs, and regularly interacts with central university offices, Viterbi Business Affairs, and the Viterbi academic units.

This position is part of a small team that provides a broad range of administrative and project functions that vary in complexity, with minimal supervision.

Responsibilities and Accountabilities:

  • Coordinates faculty hiring, tenure, and promotions. Oversees the faculty leave and sabbatical process and assists with the school’s faculty annual review and faculty salary proposal with other faculty affairs staff in the Office of the Dean and with the Office of the Provost.

  • Works in conjunction with the faculty affairs staff in the Office of the Dean on non-tenure track faculty issues and assists with exceptional non-tenure track cases.

  • Initiates and maintains annual faculty contracts and ensures timely completion and updates, as required.

  • Serves as a primary liaison and information resource on faculty matters to the Office of the Provost, Office of the General Counsel, and other offices or schools or departments on campus, as needed.

  • Serves as a primary resource for faculty and staff regarding related administrative issues and procedures, including postdoctoral scholar fellowships and research associates, and visiting scholar appointments.

  • Coordinates exit surveys and faculty training programs.

  • Maintains personnel files and ancillary paperwork, as well as faculty databases and lists for tenure-track and non-tenure-track faculty.

  • Generate reports or other responses to faculty data requests.

  • Coordinates annual elections for Appointment/Promotion and Engineering Faculty Council committees.

  • Coordinates job postings in the online recruitment system for faculty positions in the Viterbi School.

  • Performs other related duties as assigned or requested. The University reserves the right to add or change duties at any time.


Job Qualifications:

Minimum Education: Bachelor's degree

Minimum Experience: 1 year

Minimum Field of Expertise: Ability to receive supervision and guidance. Working knowledge of faculty employee life cycle. Highly organized. Experienced in Microsoft Office. Excellent written and oral communication skills

Preferred Experience: 3 years

Preferred Field of Expertise: Master’s degree. Understanding of faculty-related matters (e.g., appointments, promotions, and tenure). Highly motivated. Experience working with faculty in a university environment.
