Director of Finance

The IDEA Center at the University of Notre Dame is looking for a Director of Finance. This person will be part of the executive team and report directly to the Vice President and Associate Provost for Innovation. This position will engage in high performing, leading edge practices, valuing people, partners and stewardship. Currently, this position is hybrid. The Finance Director will have the option of working two days a week from home and three days in the office.

What is the IDEA Center at the University of Notre Dame? Standing for Innovation, De-Risking and Enterprise Acceleration, the IDEA Center is the fundamental resource for all commercialization and entrepreneurial activities at the University of Notre Dame. It provides the necessary space, services and expertise for idea development, commercialization, business formation, prototyping, entrepreneurial education and student entrepreneurial efforts. It is designed to bring the best Notre Dame faculty, staff and student ideas and innovations to market. The IDEA Center is made up of six key areas, Commercialization Engine, McCloskey New Venture Competition, Innovation Park, Innovation Lab, Student Entrepreneurship and the Commercialization Engine Funding which includes the ND Pit Road Fund and Bridge Funding.

Responsibility Summary:

? Works with the Vice President and Associate Provost for Innovation (VPI) to develop a financial strategy to support the long term goals of the IDEA Center.
? Key leadership position and thought partner of the VPI. Member of the IDEA Center Executive Team (reporting to the VPI) and represents the IDEA Center on all University financial committees and meetings.
? Work closely with VP for Innovation, Provost’s Office, and VP of Finance to set and execute a 5-year budget strategy for the IDEA Center.
? Works with VP Innovation, Director of Operations, University Architect, Development and VP for Finance on new building projects and major renovations.
? Works with VP Innovation and Development in formulating the long term fundraising strategy for Provost approval.
? Responsible for all financial activities of the IDEA Center. Core responsibilities include oversight and administration over all restricted and unrestricted accounts under the control of the IDEA Ctr.
? Oversight and administrative responsibility over all endowments supporting the IDEA Ctr including proper assurance the endowment spending accounts are being spent in a manner consistent with their underlying restrictions. Additionally, each account should be monitored to ensure a proper plan is in place to address any deficit or surplus position(s)
? Serve as the point person with outside accountants in managing any compliance reporting (i.e. tax returns, 1099’s) for any wholly owned entities
? Support the Director for any and all financial activities involving the University’s position as the general partner and limited partner in the Notre Dame Pit Rd Fund, LP
? Oversight and accounting for licensing and other intellectual property receivables as well as direct equity investments in start-up companies
? Serve as the point of contact to the Finance Division in support of the following:
o Budget preparation and monitoring
o Preparation/review/submission of any accounting entries necessary in support of operations at the IDEA Ctr.
o Tax inquiries and general awareness of key taxable activities related to the IDEA Ctr and related entities, including inputs to the University’s form 990/990T
? Responsible for approving invoices, billings and royalties. Managing accounts receivables billings and reconciliation.
? Works directly with the PI on IDEA Center grants. Manages and oversees all grants, supporting documentation, and budget from beginning to close.
? Responsible for reporting of all research grant close out and notifying ND Research. Also, with ND Research on information necessary for their continued support.
? Updates, manages all data in Minuet in order to secure billing, royalty distribution which is done twice a year. Runs monthly statements for each legal fee, royalty, minimum annual royalty fee and other billings.
? Directs and manages all endowments. Write yearly endowment report. Manages all use of the funds, works with Directors to secure documentation for year end use of all monies.

Notre Dame Pit Rd Fund
? Responsible for working with University Controller’s Office and Back-office support to ensure all reporting (financial statements, tax, etc.) are executed in a timely and accurate fashion. Responsible for all financial activities of the IDEA Center and providing the VPI with appropriate updates, reports, etc.
? Serve as the financial manager of the fund, managing all financial activities related to Notre Dame’s role as the general partner as well as its position as limited partner.
? Liaison to Carta and back-office support organization to ensure all relevant information is being provided in a timely fashion, including but not limited to:
o Investment updates and monitoring
? Any contracts related to the partnership investments
? Information concerning valuation of partnership holdings, especially recent funding rounds
? New or exited positions and supporting documentation
o Review of monthly financial statements and submission of adjustments as necessary
? Preparation and issuance of b-annual management reports and financial statements to the limited partners, in conjunction with the Managing Director of the Pit Road Fund.
? Oversight and coordination with back-office support organization of the annual audit to ensure timely and complete reporting to all constituents
? Coordination of all tax matters with outside preparers and the University’s Tax Director to ensure proper coordination in conjunction with the partnership tax return and resulting limited partner K-1’s
Bridge Fund
? Responsible for working with University Controller’s Office and Back-office support to ensure all reporting (financial statements, tax, etc.) are executed in a timely and accurate fashion. Responsible for all financial activities of the IDEA Center and providing the VPI with appropriate updates, reports, etc.
? Will follow-up on all warrant requests. Work with Controllers Office to acquire account code for each transfer, initiate the JV for funding/accounting, wire transfer, W-9 and signed warrant agreement.
? Reconcile budget monthly, reporting out to all stake holders.

Bachelor’s degree

Preferred Qualifications

3 to 4 years experience in accounting. Experience in entrepreneurship, tax law, budget preparation and analysis helpful.
