Summary

The Rackham Graduate School Admissions and Academic Records & Dissertations team is seeking a highly responsible, self-motivated, detail-oriented Student Administration Assistant Associate to provide the highest level of excellence and professionalism. The Student Administration Assistant provides administrative support and ensures excellence in service delivery and data accuracy in the maintenance of admissions and academic records, reports, and credential evaluation. PLEASE NOTE: This is a 2-year term-limited appointment.

Rackham is currently offering hybrid work schedules to staff, requiring 2-3 days per week on-site with the remaining time being remote.

Responsibilities*

Job responsibilities include but are not limited to:

Administrative support to admissions processes: Enter application data into the Student Administration System, M-Pathways, from the applications that are provided in paper and electronic formats. Assist with processing recommendations of admission provided by the graduate programs; verify Rackham admission requirements are met, finalize the admission status in the Student Administration System, M-Pathways, and order outgoing communications to inform applicants of their status. Assist in verifying and determining the acceptance of international financial documents, entering data into the Student Administration System to create the I-20 immigration form for non-U.S. citizens who need an F-1 visa and order outgoing communications to incoming international students.

Support data verification processes for admissions: Insure data and document matching to allow all documents, including test scores, transcripts, letters of recommendation, essays and other application documents, for an individual to be combined into one file. Determine the cause of documents not matching the correct applicant’s file and address the root cause.

Administrative support to academic records and dissertations processes: Assist with the calculation of grade point averages for Master’s degree audits. Assist with the format check of dissertations submitted by doctoral students; provide feedback to doctoral students for correction. Assist with the preparation of degree lists for Master’s and doctoral students; insure accuracy of the data and eligibility of the student for degree conferral. Assist with various tasks related to Commencement; such as develop a Commencement FAQ, running reports, and assist with the commencement check-in process. Create courses in M-Pathways and complete overrides for Rackham courses, enter data for leave and return of absence requests. Manage pre-defense system and audit pre-defense requirements for students.

Customer Service: Serve as the first point of contact for the information desk and coordinate coverage within the team. Answer information desk telephone and respond to email inquiries to address questions and concerns. Assist in advising graduate program staff regarding policies and procedures. Collect data to support management decisions. Support the process of developing and testing the performance of online systems.

Credential Evaluation: Evaluate transcripts; U.S. and non-U.S., including dual degree enrollments, for Bachelors and Master’s degree equivalency. Calculate the equivalent of a U.S. grade point average on a 4.00 scale. Review non-U.S. transcripts and financial documents for acceptability; verify authenticity and sufficient funds to cover tuition and living expenses. Assist with the research of institutions for accreditation and level of educational degrees offered.

Required Qualifications*

High school education or equivalent and two years of work experience. Demonstrated commitment to exceptional customer service and process improvement. Proficiency in utilizing database management systems as well as Microsoft Office products and Google suite of applications. Strong attention to detail and analytical skills. Demonstrated ability to take initiative to resolve problems effectively. Ability to organize and prioritize work. Handle multiple tasks with efficiency. Excellent interpersonal communications skills; oral and written. Ability to work independently and in a team environment. Strong interest in ongoing professional development. Understanding and appreciation of diverse cultures within the University. Understands and values diversity and the importance of inclusion as demonstrated through a commitment to apply and incorporate the differences, complexities, and opportunities that diversity brings to an organization.

Ability to maintain confidentiality, exercise discretion, and handle people with diplomacy under stressful situations and in matters of a sensitive and confidential nature. Desired Qualifications*

Bachelor's degree or equivalent combination of education and work experience. Knowledge of Rackham and University student services policies and procedures. Knowledge of IT administrative systems, including M-Pathways recruiting and admissions and student records systems. Experience working with Graduate programs.
