Overview

Reporting to the Director, Legal Operations within the Legal department, the Legal Billing and Operations Specialist supports legal operations initiatives, focusing on technology solutions to provide efficient, scalable, cost-effective legal billing and ensures effective vendor and outside counsel management, as well as knowledge management and other legal operations responsibilities as identified.

Responsibilities

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Perform first-level invoice review of outside legal invoices to ensure accuracy and compliance with Outside Counsel Billing Guidelines
  • Collaborate with the legal team to create and manage legal matters, including matter-specific budgets, timekeeper rates, firm evaluations and related documentation
  • Review, coordinate and process payment of legal invoices, including managing escalations and troubleshooting issues
  • Assist with onboarding of law firms and other vendors in legal billing software
  • Interface with law firm accounting offices on billing related matters
  • Create reports on budget and billing matters and communicate results to the legal team
  • Partner with Director, Legal Operations to develop and provide training to ensure strong user adoption of processes and billing systems
  • Partner with Director, Legal Operations to support department-wide budgeting and financial management activities, including managing purchase orders, accruals and forecasting and tracking legal spend against budget
  • Assist with special projects, day-to-day operations and administrative needs and other duties as requested

 

Qualifications

MINIMUM JOB QUALIFICATIONS:

  • High school diploma required; Bachelor’s degree preferred
  • 2 years of relevant experience in accounting or legal billing required
  • In-house experience with Legal eBilling, preferably CounselLink preferred

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Understanding of end-to-end invoice lifecycle (work in progress, invoice, accounts payable, accounts receivable)
  • Demonstrated critical thinking and analytical skills are required; ability to apply systems knowledge to troubleshoot and analyze new issues is critical
  • Excellent verbal and written communication skills
  • Exceptional organization skills and attention to detail
  • Strong client service skills and professionalism
