Job summary
The University is looking for a highly organized Administrative Assistant to provide office management support to the team in Jerusalem.
The Administrative Assistant should be an excellent communicator with high attention to details who enjoys working in a multicultural setting, interacting with international faculty, staff and guests in a hospitable and welcoming manner.
Key responsibilities
Under direction and in concert with the Project Manager, the Administrative Assistant is responsible for the following key areas and administrative duties:
- Providing administrative support to ensure efficient operation of the office such as drafting and sending correspondence, organizing digital and hard-copy file storage, scheduling of meetings and supporting students, faculty and staff.
- Carrying out administrative duties such as filing, typing, copying, binding, scanning etc.
- Reception duties: Serving as the primary greeter for visitors to the administration team, directing them to the appropriate location or person on campus and making sure the venue is well prepared.
Providing administrative support to the Project Manager. This would include:
- Preparing communication letters
- Maintaining, updating , and creating databases and lists
- Working with outside vendors for all supply, printing, and technology needs
- Maintaining office supplies. inventory and books for all supported programs
- Overseeing mail distribution, shipping, & receiving.
- Duplicating reports and documents; maintaining records and files
- Coordinating and organizing events, including securing venues and classrooms and other duties as needed
- Supporting executive functions of the administration team, including correspondence and calendar management
Expected start date is February 1, 2023. Short-listed candidates will be invited to an interview process.

Minimum Qualifications
- Right to work in Israel required
- Associate degree or up to 3 years of college education
- A bachelor’s degree or equivalent is an asset
- Minimum 3 years’ office or clerical experience
- English is a must. Arabic and/or Hebrew proficiency is an asset
- Strong organizational and interpersonal skills with ability to interact and work with diverse groups of faculty, staff, students and visitors
- Exceptional attention to detail
- Ability to manage multiple demands simultaneously and work under multiple deadlines
- Excellent ability to communicate in professional manner
- Proficiency in Microsoft suite
- Self-directed, with willingness to take initiative
- Experience providing administrative support to a dynamic and diverse team.
