Job Title
Program Coordinator, Michigan Apprenticeship Program Plus - Level 4, Temporary Grant Funded

Job Function
Assist the Program Manager and other related staff in coordination and delivery of the activities of the grant initiatives. This position is specific to the Michigan Apprenticeship Program Plus (MAP+) Industrial Readiness Program and responsible for the coordination of program activities including outreach and recruitment of students.

Job Responsibilities
  • Create awareness of the MAP+ Industrial Readiness Program by collaborating with internal and external partners to recruit new students by participating in outreach events such as career workshops, job fairs, college nights, high school presentations, or other events.
  • Coordinate program recruitment and outreach materials for MAP+ with college Graphics, Marketing and Printing departments
  • Manage MAP+ event planning including arrangements for facilities, equipment, food, logistics, invitations, presentations, materials for distribution and attendance registration, etc.
  • Establish and maintain relationships with clients, staff, instructors, and external agencies to facilitate the programs.
  • Manage student recruitment, program application, assessments, college admission processes and overall MAP+ student communications
  • Assist in coordinating, tracking, reporting and delivery of MAP+ training programs.
  • Coordinate first day activities and other program arrangements as necessary
  • Track all activities for ensuring on-time delivery and recommending program and administration improvements
  • Create, maintain, and audit participant files for accuracy and completeness according to grant guidelines.
  • Assist with tracking students using internal and grant directed government system.
  • Conduct research and prepare reports in preparation for program proposals.
  • Maintain physical and material inventory for training programs.
  • Meet prescribed timelines without direction or reminders from immediate supervisor.
  • Must deal appropriately with confidential materials and issues related but not limited to personnel; budgets; and other sensitive records.
  • Collect data, compile, and maintain reports and records of the activities related to the grant.
  • Maintain accurate program information systems and accounting of activities including reports.
  • Act as liaison with other college departments and external agencies regarding employers and industry partners.
  • Coordinate and manage company and community site visits or field trips.
  • Facilitate organized activities addressing situational barriers to successful program completion and assist students to obtain the widest possible range of employability skills by directing to offered support services.
  • Provide ongoing student employment follow-up/retention support.
  • Maintain records and produce reports relating to student progress, successful program completion, employment, and retention.
  • Other duties as assigned.

SUPERVISION RECEIVED: Reports to the Program Manager. May take direction from other full or part-time staff as assigned.

Education
Associate degree required, Bachelor’s degree preferred.

Preliminary Qualifications
Two years related work experience required preferably related to advising, career coaching, outreach, project management, and event planning with experience working within an academic community.

Knowledge, Skills and Abilities
High degree of accuracy required. Will be involved in the planning and implementation of projects. Will be directly involved with agencies or persons outside of the college. Excellent organizational and prioritization skills required. Must be proficient in Microsoft Word, Excel, PowerPoint, Outlook, and Teams. Must have the ability to input data and provide accurate reports and information for record keeping and statistics. Must be a skilled and effective verbal, written and electronic communicator; must be able to work independently and as a member of a project team; must be detail oriented and able to handle multiple activities.
High degree of dependability, problem resolution and customer satisfaction.
Must be able to communicate effectively with widely diverse populations and have a strong desire to learn.

Working Conditions/Physical Demands
Normal office conditions. The hours are flexible and will require occasional Saturdays and weekday evenings. Local travel off campus is required; must have dependable transportation.

Work Hours
To be scheduled by the department as needed, but not to exceed 25 hours per week. ASSIGNMENT DATES: Projected program ending October 31, 2025 (grant funded).

$25.00 per hour
