Basic Function

Under the direction of the Registrar, Admissions and Records, perform a variety of complex and technical clerical duties related to the evaluation of student records for graduation purposes; train and provide work direction to student workers and others as assigned.

Representative Duties

Review and evaluate student records and transcripts from Rio Hondo Community College and other institutions pertaining to degrees, certificates and credit by examinations. E

Evaluate military credits, foreign transcripts and course work completed at other institutions to determine equivalents for credit at Rio Hondo. E

Verify and certify completion of graduation and certificate requirements and athletic eligibility. E

Provide technical assistance and information in person and on the phone to students and others regarding graduation status, admission and course credit. E

Analyze, interpret, apply and explain admissions and records policies and procedures. E

Maintain, revise and update a variety of records and files related to graduation, certificates, credit by examination and evaluations. E

Assist counselors as requested in analyzing student records; identify and correct errors; compute and verify grade point averages. E

Evaluate and process course repetition petitions and academic renewals; research information as needed regarding credit by examination, certificates and courses completed at other institutions. E

Prepare and update graduation lists; maintain graduation statistics; order diplomas and covers. E

Train and provide work direction to student workers and others as assigned; provide technical expertise and assistance to other Admissions and Records staff.

Perform a variety of office management duties including ordering supplies, scheduling appointments, handling mail and preparing correspondence.

Perform duties of Admissions and Records Supervisor in the absence of the supervisor or as requested.

Operate a variety of office machines including personal computer and word processing software such as Microsoft Office.

Perform related duties as assigned.

Knowledge and Abilities

KNOWLEDGE OF:

  • Maintain technical records and files related to student records.
  • Provide technical assistance and information to students and others regarding graduation, degree and certificate requirements.
  • Read, interpret, apply and explain rules, regulations, policies and procedures.
  • Add, subtract, multiply and divide quickly and accurately.
  • Type at an acceptable rate of speed.
  • Analyze situations accurately and adopt an effective course of action.
  • Train and provide work direction to others.

Education and Experience

Any combination equivalent to: graduation from high school and three years of increasingly responsible clerical experience in a college admissions and records office, including one year of experience working with student records and transcripts.

Foreign Degrees

Any degree from a country other than the United States, including Canada and Great Britain, must be evaluated by an Evaluation Service prior to the closing date. Certification must be attached with copies of transcripts.

Position Description
