Job Description:
Madison College is excited to announce the open position of Event Services Manager. This position creates, coordinates, and produces all components of our events, including high-profile events such as semester kickoff events, awards banquets, webinars, graduation, and external events. The individual hired for this position will be instrumental in building new digital event processes and policies and will serve as a consultant for other departments on campus who seek us out as subject matter experts. This position will coordinate and manage, from inception through execution, a high volume of both large and small events.
 
The Event Services Manager will be responsible to ensuring that events run efficiently, in a quality manner, and with excellent customer service. This includes working with various college personnel to help develop, plan, implement and evaluate events and special functions. With the mission, vision, and core values of Madison College central to the work, this position is an integral part of the Administration team and is key in helping achieve the college's success.
This position reports to the Vice President, Administration, and is part of a talented, engaged, and supportive team.

This is a full-time, exempt, 52 weeks per year position with some evening hours and some weekends as needed. Schedule can be somewhat flexible and remote work is permissible.
Madison College offers a generous benefit program including health and dental benefits and participation in the Wisconsin Retirement System (WRS). The employee selected will serve a twelve (12) month introductory period.
 
 
 
Duties/Responsibilities:
Event Production and Management
  • Manages on-site production and vendor needs for events as necessary.
  • Conducts event debriefs with key event stakeholders following each events
  • Assists with day-of event logistical moves, as needed
  • Sets up and operates cameras and select A/V equipment, digital platform management, content creation and production, live streaming and recording, onsite troubleshooting of technical problems, and post event editing
  • Serves as Operations Director for the Mitby Theater
  • Supervises department employees and coordinate with employees across multiple departments.
  • Hosts a weekly meeting of internal stakeholders regarding significant events in the upcoming week(s) and resolves any resulting issues.
  • Operates with a focus on continuous improvement, including routinely reviewing and improving processes and practices and identifying new services that would benefit our events.
  • Hires, trains, and maintains a pool of students and/or casual employees to surge into event support roles as needed, including in technical and non-technical functions.
  • Prepares and manages the department’s budget.
  • Maintains the Facilities Use Guidelines
  • Serves as primary backup to event-related software and management
  • Attends conferences, seminars, and workshops for continued development of professional skills.
  • Develops relationships with audio and visual vendors to remain current of trends, modifications and availability of products and services.
 
Event Planning and Coordination:
  • Schedules, plans, and executes of events, including meeting with clients to define expectations and requirements, developing and reviewing event plans, and conducting pre-event meetings and walkthroughs.
  • Serves as the primary point of contact for all aspects of event planning for events at Madison College’s Madison Metro campuses (Commercial Avenue, Goodman South, and Truax).
  • Coordinates all event support services, which includes, but is not limited to, planning security logistics, ensuring custodial coverage, working with internal and external vendors to secure event rentals, catering, technology, and other needed materials, coordinating with the Events Technical Coordinator as needed.
  • Coordinates with the Finance and Administration Shared Support Team.
  • Maintains routine communication with involved parties.
 
 
Training and Support:
  • Acts as main point person with internal and external event presenters to ensure they are knowledgeable and comfortable with the event flow, facilitating speaker audio and video needs, and who to contact in the event of technical difficulties
  • Implement a technical assistance program that utilizes existing on-campus talent to produce events and provide technical support.
  • Develops a training plan and strategy to support individuals across the college in using event technology and troubleshooting common technology issues that occur during events.
  • Provide routine trainings on the Facilities Use Guidelines, interpret guidelines, and ensure compliance with local, state, and Federal law

  • Skill in communicating effectively and professionally, both orally and in writing.
  • Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.
  • Ability to work independently with minimum guidance.
  • Skilled in analyzing problems, identifying alternative solutions, projecting consequences of proposed actions, and making recommendations in support of goals
  • Detail-oriented and able to maintain professionalism in a fast-paced, rapidly changing environment.
  • Skilled in coordinating activities with other internal departments and/or external agencies and vendors
  • Ability to present materials to groups and individuals, develop strategic and operational plans, and analyze processes and make recommendations for improvement
 
Qualifications:
 
Education:
Bachelor’s degree
  • Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.
Experience:
7 years in a supervisory position related to event management or production.
