What You’ll Be Doing

  • Assist VP Finance and Administration with Restricted Grant financial tracking and Management
  • Test and ensure all internal financial internal controls are in place and all month ending account and control checks are completed.
  • Review open payables and open grant receivable monthly to ensure all multi year grantors pay within their commitments and that vendors are paid in a timely fashion.
  • Facilitate the work of the Board of Directors, including, managing scheduling, preparing/assembling and distributing meeting materials in a timely manner.
  • Assist administrative and financial processes for members of the Operations team as needed.
  • Support the HR team in successful navigation of state-by-state requirements and regulations.
  • Process payroll as needed.
  • Partner with the Human Resources and PEO teams to serve our team members efficiently and effectively.
  • Collaborate with the HR team to administer annual open enrollment.
  • Support recruitment process. Screen candidates, schedule interviews, and extend offers as needed.
  • Support onboarding and offboarding processes.
  • Manage maintenance and ensure accuracy of electronic HR filing system.
  • Own the delivery, timely receipt and filing of agreements and acknowledgement forms. Draft HR communications as needed.
  • Support benefits administration and compliance for a dispersed team.
  • Other duties as assigned.

Skills and Experience

  • At least three years of relevant experience supporting administrative, accounting and/or human resources functions, preferably in a non-profit organization
  • Comfort with math and calculations
  • Experienced user of Microsoft Excel and/or Google sheets
  • Strong detail-oriented and resourceful mindset
  • Basic data entry skills
  • Excellent communication skills, interpersonal skills, ethics, and cultural awareness
  • Familiarity with Google Suite preferred
  • Experience with Bill.com, Concur, Insperity or other HRIS and billing software is a plus

Essential functions of the role include:
  • Working from a computer for long periods of time;

This is an exempt position. The starting salary for the HR & Operations Assistant is $60,000-$70,000.

Starting salary is based on the selected candidate’s qualifications and experience. To counter pay inequality and uphold internal parity, we use a non-negotiable starting salary system, while benchmarking our pay to competitive markets.
