Summary

Taubman College of Architecture and Urban Planning seeks an engaging and detail-oriented events coordinator to work 20 hours a week from January to April 2023. Reporting to the Events & Public Programming Manager you will provide support and assistance for commencement and homecoming activities, the distinguished lecturer series, faculty-conceived multi day conferences and symposia, local and regional alumni events, and donor related events.

While this job is situated in Ann Arbor and some on-campus work is expected, Taubman College offers flexible work arrangements for staff. Some evening/weekend work will also be required.

Responsibilities*

  • Maintain procedure information and shared resource materials for events.
  • Update calendars.
  • Expense tracking and budget reconciliation.
  • Track guest travel and lodging arrangements.
  • Coordinate promotional efforts and public event listings.
  • Monitor attendee registrations and final guest counts.
  • Manage inventory of event supplies.
  • Assemble event materials including event announcements, invitations, guest itineraries, contact lists, and run of shows.
  • Oversee the printing of name tags and signage for use or distribution at the event.
  • Onsite event support. This may include some flexibility in scheduled work hours.
  • Special projects and other duties as assigned by the Events & Public Programming Manager

Required Qualifications*

  • High school diploma
  • Demonstrated project management and organizational skills
  • Successful experience working in a collaborative team environment
  • Extensive knowledge using G Suite and Microsoft Office
  • Flexibility with changing circumstances and work schedule
  • Experience with budget and expense monitoring

Physical Demands/Work Environment

  • Routinely moves materials weighing up to 50 pounds for various event needs
  • Requires the ability to travel to various locations to conduct work and deliver materials in U-M work van with events & public programming manager
