We are searching for someone to join our dynamic team who shares the same passion and mission. We are looking for a Graduate Studies Coordinator for our Economics department.

Position Summary:
  • Provide administrative support to the department.
  • Provide assistance to Ph.D. students and advise students on basic university, graduate school, and department policies, procedures, and contacts.
  • Coordinate and monitor progress of Ph.D. students and assist faculty who oversee students.
  • Maintain confidential database for all students.
  • Represent the department and its Ph.D. program to administrators, students, families, alumni, and the public.
  • Work with other administrative coordinators as a team while ensuring that all day-to-day needs of the department operations are met.

?Essential Duties and Responsibilities:
Administer Graduate Program: Support students from admissions to graduation and graduate placement, schedule exams, and dissertation defenses, support professional development, communicate with students, maintain a confidential database for graduate students, maintain a database of alumni graduate students, report updates to graduate school each year.

Financial Administration: Process graduate tuition and stipend payment forms, manage department payments, process reimbursements for visitors and seminar guests.

Advising: Perform preliminary advising, answer routine inquiries from faculty and students concerning policies and procedures of the university, graduate school, and department.

Recruitment and Admission: Support Director of Graduate Studies (DGS) with the recruitment of prospective students and admission process, coordinate campus visit weekend for prospective students, and orientation for incoming students.

Office Support: Provide support to Department Chair, DGS, Department Administrator, work cooperatively with other coordinators in the department, manage scheduling and events related to the Ph.D. program.

Minimum Qualifications

High School Diploma or GED
1-2 years of administrative experience

Preferred Qualifications

  • Proficiency in Microsoft Microsoft Suite (Word, Excel) and Google applications (Gmail, Calendar, Docs, Sheets, Forms, Slides).
  • Excellent organizational and interpersonal abilities.
  • Strong communication skills both orally and written.
  • Able to work independently on multiple activities while continually prioritizing activities in response to changing circumstances.
  • Ability to maintain the confidentiality of student files and departmental issues.
  • Notre Dame campus knowledge and experience with university policies and procedures preferred.
