Job Title

Senior Associate Director

Job Description

The Senior Associate Director of the Keough-Naughton Institute for Irish Studies advances the mission and strategic objectives of the Institute through leadership in operational and administrative matters. The Senior Associate Director reports to the Director of the Institute (a faculty member), who provides intellectual leadership and determines the overall goals and strategy for the Institute. Working in close collaboration with the Director, the Senior Associate Director operationalizes the Institute’s strategy and ensures ongoing academic and programmatic excellence. This is accomplished through oversight of human resources (hiring, performance management), finance (budget advice and oversight, including labor and non-labor), operational planning (events on campus, in Europe, and in Washington DC), and involvement in strategic initiatives of the Institute (including development and curriculum). The Senior Associate Director will also oversee administration and operations for the Clingen Family Center for the Study of Modern Ireland, a initiative of the Keough-Naughton Institute that focuses on the place of Ireland in the Modern World. The Senior Associate Director plays an essential role in the efficiency and effectiveness of the staff, in building relationships across the faculty, with external contacts and foundations, and with advisory board members and benefactors.

Operations – The Senior Associate Director works with the Director to manage the operations of the Institute and the Clingen Center. This includes monitoring and overseeing Institute and Clingen Center programs to ensure excellence. Many of the programs of the Institute and Center involve staffing and ongoing activities in Ireland or in other international locations. The Senior Associate Director will provide operational support regarding appointments, contracts, grants, student and faculty travel, and other operational issues for both on-campus and international programs, working in collaboration with relevant colleagues at Notre Dame International. The Senior Associate Director will establish and review Institute policies and procedures, ensuring compliance with Keough School and University policies; work with Institute faculty and staff and the Research Office on the submission and management of external grants; and facilitate integration with the Keough School by supporting coordination with the Dean’s Office on operational issues.

Financial Oversight – This position will work closely with the Director in allocating and monitoring budgets and strategic financial planning. The Senior Associate Director prepares and monitors the annual budget for the Institute and the Clingen Center, in consultation with the Director and with support from the Senior Administrative Coordinator. The Senior Associate Director approves financial transactions for the Institute and Clingen Center, including purchases, payment requests, and reimbursements. The Senior Associate Director will also oversee other financial matters, including preparing of long range budget projections and analyses. All financial activities will be done in accord with University and Keough School policies and deadlines, with guidance from the Keough School Associate Director of Finance and Administration. The Senior Associate Director will represent the Institute at meetings of Institute business managers at the Keough School.

Strategic initiatives – The Senior Associate Director works closely with the Director of the Institute and of the Clingen Center to define and operationalize the strategic objectives of the Institute. The Senior Associate Director will participate in drafting a new strategic plan and will play a key role in realizing its objectives. With the Director and the Director of Global Advancement in the Dean’s Office, the Senior Associate Director contributes to fundraising by helping to refine and articulate objectives to the Institute’s Advisory Board and other stakeholders. The Senior Associate Director develops and manages new projects that advance the Institute’s goals, and cultivates support for Institute’s initiatives in the Keough School, the University, and key external constituencies.

Staff Administration – In consultation with the Director, the Senior Associate Director oversees staff administration, including identification of staffing needs, staff recruitment and hiring, performance assessment, salary administration, and other personnel matters. This includes overseeing appointments and administration of non-regular faculty appointments. This position also convenes and chairs regular staff meetings. In carrying out these responsibilities, the Senior Associate Director consults with the Keough School Associate Dean for Operations and Human Resources personnel as needed.
