Duty/Responsibility

Executive-level support to the campus College Dean to ensure preparation of all daily, weekly, and monthly meetings including necessary materials, meeting participant information, and scheduling of recurring academic or calendar year requests and needs. Additional duties required include:
  • Drafts official responses and correspondence from the Dean.
  • Prepare reports, materials, and agendas.
  • Arrange travel, book reservations, and submit monthly mileage expense reports for the Dean.
  • Establish clear and open lines of communication with the Dean.
  • Bring pertinent issues to the Dean, brainstorm decision-making, determine assignments of special projects, and filter information to the campus as necessary.
  • Coordinate annual reviews of all the Dean direct reports as well as annual meetings with all the college academic departments and all program departments.
  • Handle special assignments requested by the Dean.
  • Research issues and gather data to support the Dean’s decision-making and process development.
  • Provide administrative support to the College Advisory Board including board material development, roster and term limit tracking, webpage and bio updates, attendance at meetings, minutes, and action item logging, follow-up communications, and maintaining relationships.
  • Participate in key meetings with faculty, staff, and administrators as needed.
  • Facilitate the correction of any issues or problems that may arise that compromise the work of the college Dean (computer issues, phone issues, temperature control, etc.).
  • Oversee, take the lead, and/or assist with special projects related to the Manchester campus operations or at the request of the Dean.
  • On-call outside of normal work hours when needed.
  • Work with legal regarding a variety of issues as needed.
  • Liaison with the administrative offices of the University President and Provost for all communications necessary to distribute campus-wide.
  • Coordinate a variety of annual requests including award nominations, committee representation selection, and others.
  • Main contact for all other college dean offices for questions and support as needed.
  • Schedule, set up, facilitate, record, distribute, and run the campus-wide community meetings (approximately 6-8 a year).

Duty/Responsibility

College Relations and Operations
Acts as the Office of the Dean representative for a variety of departmental and campus needs including community, college-level, state-level meetings, and events.
Exercises independent thought and judgment while serving as an official liaison for the Office of the Dean in interactions with faculty, staff, students, parents, donors, external constituents, community contacts, and state and federal level officials as well as the Dean’s office lead for college initiatives and strategic projects as needed.
Maintain highly favorable relationships with local community vendors and businesses, while still developing additional ones including Manchester Chamber of Commerce, NH Tech Alliance, Business & Industry Association, Currier Museum of Art, DoubleTree, Fisher Cats, Manchester Transit Authority, and more.
Under the direction of the campus College Dean, advise and assist in all areas of campus operations including:
  • Interpret USNH policies and procedures and distribute as needed when questions arise.
  • Demonstrated ability to independently perform a wide range of administrative and technical responsibilities.
  • Oversight of the main incoming campus line and the maintenance of selection choices as well as the recording of greetings.
  • Maintain an active list of college policies and procedures including edited date, revision dates, list of corrections, documents that refer to needed policies, and distribution for such things as Service Animals in Labs, Annual Evaluation process, course special fees, campus postings, emeriti status processing, etc.
  • Serve on a variety of operational groups and committees including the campus emergency preparedness training committee, the administrative support team group, and the University PAT council.
  • Actively schedule and participate in college events.
  • Attend weekly event team review committee meetings.
  • Participate in student events such as Wildcat Welcome Day, student Peer Assistant Leader training, and orientation days.
  • Play an active role in campus-wide events such as the Undergraduate Research Conference.
  • Assist the event manager on day of and provide administrative support for the annual UNHM Commencement as well as prepare the college Dean for Commencement, coordinate regalia needs, travel arrangements, and Commencement materials for the Keynote Speaker, the Granite State Awardee, University, and college leadership, faculty, and support staff.
  • Oversee all third-party contracts and leases working with department directors including but not limited to leases, rental agreements, MOUs, parking, maintenance, building use and rental, and campus equipment needs including YMCA, New England College, Nashua Community College, Manchester Community College, Granite State Lunchbox, and others.
  • Assist University Development/Foundation, and University Engagement departments.
  • Monthly review of Manchester donors and contributions, coordinate acknowledgment letters and notify the Dean for informational purposes.
  • Distribute calls for funding opportunities such as the 603 Challenge and assist in regular institutional giving meetings, brainstorm potential relationships, and manage action items.
  • Provide administrative support for funding opportunities including invoice development and distribution, contribution follow-up, and reconciliation of donation.
  • Main responsible party for all building usage and space coordination.
  • Maintain an updated office and space inventory of the campus.
  • Represent the campus space at the University level on committees such as the Space-Capital Planning and Management teams.
  • Manager of the campus-wide space allocation committee with responsibilities that include maintaining the list of space requests, resolutions to requests, and providing strategic solutions to the growth of the building.
  • Assist in parking needs and resolutions as needed.
  • Maintain, edit, and update the signage throughout the building including the mail house, the floor directories, the overhead departmental signage, and other locations as needed.
  • Work directly with the facilities manager as needed.
  • Assist with the college dorm space as needed.
  • Provides administrative support to the college campus during COVID-19, as needed including work as the coordinator of site visits to both the campus and dorms, maintaining the signage and PPE requests, operational needs, and display updates of signage around campus, and assisting in the development and updates of department-wide concierge plans for remote work.

Duty/Responsibility

Supervision and Oversight of the Office of the Dean
Providing administrative advice, oversight, leadership, direction, and supervision to the Dean’s office administrative support staff including the hiring, onboarding, supervision, and evaluation of the administrative support structure within the UNH Manchester campus which includes 2 full-time Administrative Assistants III, 1 PT office assistant, student workers, and additional administrative support to cross-campus departments and programs.
Provide oversight and leadership to the senior administrative assistant and support for faculty (46 residential and upwards to 80-90 adjuncts each semester).
Work closely with the college special projects manager to provide additional support as needed.
Participate in weekly senior team meetings with other members of the leadership as well as maintain minutes and follow up on action items.
Prepare an annual justification of the Office of the Dean budget while tracking, maintaining, and performing fiscal year reconciliation. Oversee the process and provide necessary documentation and materials for the College Dean, campus-wide, and administrative University (three) purchasing cards.
Manage faculty personnel files, historical campus and college files, evaluations and reviews, and student evaluation documents. As well as develop long-term strategies for historical and tracking of office of the Dean information.
Coordinate trainings and provide resources for college-wide information to campus including FARS trainings, Emergency Preparedness committee, diversity, equity, and inclusiveness awareness and UShop support.

Duty/Responsibility

College Human Resources Support
Interacts frequently with University-wide human resources and is the main campus administrative support for all campus new hire position requests or job description development or changes. Provide additional human resource support including:
  • Assign administrative staff and coordinate confidential and complex searches within the college.
  • Handle sensitive and confidential information including personnel matters and hiring.
  • Manage the updates and changes for the college’s organizational chart.
  • Ensures all new hires receive effective and inclusive onboarding.
  • Creation and oversight of orientation programming for new hires.
  • Maintain a summary spreadsheet of salary for all campus faculty and staff.
  • Distribute annual salary increase letters (lecturers) and assist with coordinating merit information with faculty input and coordinates the distribution and collection of merit summaries across campus.

Duty/Responsibility

College Department Chair Administrative Support
Administrative and operational support for five departmental faculty chairs with a growing list of programs and degrees.
  • Coordinate overloads, recording of the master course list, preparation of overload letters and supplemental pay forms each semester (4 traditional and 6 e-terms).
  • Prepare forms and coordinate the annual chair summer and lecturer observation/review compensation.
  • Track departmental term limits, coordinate rotating attendance at advisory board meetings (for faculty presentations), and assist with filing.
  • Prepare forms and coordinate annual program and graduate program coordinator compensation.
  • Assist in contractual questions by researching and providing necessary information and follow-up.
  • Sole administrative support person for the Deans and Chairs group coordinating the call for meeting topics, preparing agendas, attending bi-monthly meetings, creating action items, and completing follow-up.
  • Coordinator of the Manchester campus faculty development funding process including updates to the application documents, distribution and follow-up of funding requests, reporting, and reconciliation of spending to Deans and Chairs.
