Administrative Support Assistant II

Job Description

Class Description

The purpose of this class is to provide professional level administrative support services to assigned department or program.

Minimum Requirements

High school diploma/GED and five years related office experience or Associate’s Degree and three years related office experience; knowledge and experience using Microsoft Office applications; must complete and pass Microsoft testing modules which includes Word and Excel and demonstrate the ability to type 35 wpm. (Candidates with proof of current Microsoft Office Expert Specialist Certification do not need to test.)

Class Specific Essential Duties

  1. Assist in planning meetings, special events, and with special projects.
  2. Serve as liaison between department or program and other offices or organizations.
  3. Research, analyze and process data into college systems.
  4. Maintain records and files.
  5. Answer, screen and direct telephone calls.
  6. Compile reports, documents, forms and correspondence.
  7. Create and track check requests, requisitions, work orders and other request forms.
  8.  Process and manage all relevant course, program and/or personnel paperwork.

Position Specific Essential Duties

  1. Research, compile and process course, student and teacher information in various college data systems, reconciling any related problems or issues toward resolution.
  2. Serve as contact and/or liaison with internal department (Payroll, Human Resources, etc.) including working directly with adjunct faculty, tracking and verifying information for completeness and accuracy in accordance with the college and government grant regulations.
  3. Maintain and compiles database of all perspective student; designing and distributing flyers to all inquiries for the ABE/ASE Regional Registrations held each semester.
  4. Research and evaluate instructor, classroom and contract issues towards resolution. This includes referring unresolved issues to the respective coordinator and/or director.
  5. Maintain database for and distribution of Pearson Vue test vouchers.
  6. Work with Intake Assessment Specialist to process registration forms to register, drop, and add students.
