Job Description

This role supports the Director of Professional and Alumni Education Programs and the Alumni Education Program Manager in developing and delivering career and alumni education programs.

The Professional and Alumni Education Programs Coordinator assists in the planning, organization, and implementation of programs and services that help alumni and friends continue to be part of the vibrant Notre Dame family – for life. 
 
The How: This position provides creative, analytical, and administrative support, in addition to project management for both the alumni education and professional portfolios which include online, in-person and community programs. The position requires strong organizational, project management and interpersonal skills, with particular proficiency in technology to assist in delivering various programming (i.e., videoconferencing,  project management, Google suite) and supporting digital platforms such as ThinkND and IrishCompass.

The What:
1. Digital platform support with site and content maintenance: ThinkND and IrishCompass 
  • Provide support by innovating, improving, or establishing new efficient processes
  • Update, maintain, troubleshoot and resolve platform issues
  • Work with e-newsletters, broadcast email messages and other content (received or developed by the NDAA)
  • Post and update content
  • Provide user support (e.g., posting, subscriptions, analytics) 
  • Work with technical professionals to maintain site and implement improvements
  • Stay current on new system features/functions.

 
2. Program coordination and support: Provide administrative, logistical, analytical and technical support for alumni education and professional programs
  • Understand, assist, and respond to alumni, parents, friends, campus partners, club and other volunteer leaders, and board members’ requests, questions, and messages
  • Prepare professional communications from data collection to polished written materials (e.g., slide decks, reports, summaries, working documents)
  • Engage volunteer leaders to plan, prepare, coordinate, and deliver programs 
  • Represent the Alumni Association at programs/events sponsored by the department. 

 
3. Market research and metrics: Conduct market research and benchmarking 
  • Provide data collection, maintenance, analysis, reporting and recommendations to directors
  • Prepare and maintain metrics and dashboards
  • Develop and implement various surveys

 
4. Budgets & Financial Stewardship: Coordinate financial resources and expenses related to professional and alumni education programs
  • Work in GLEZ system and other department-specific budget worksheets and budget meetings 
  • Research, recommend and implement ways to cut costs and maintain quality in respective programs Direct the daily financial work of the department and perform aspects of this work
  • Receive, review, and flags (as needed) revenue and expense postings for continuing education and professional programs
  • Fulfill additional duties or administrative responsibilities as assigned

Minimum Qualifications

  • High school diploma
  • 1 – 2+ years professional experience
  • Strong project management, organizational and data management skills
  • Ability to prioritize and re-prioritize to meet deadlines with quality work
  • Strong interpersonal and written communication skills to engage with diverse volunteer leaders, alumni, friends and others in support of programs and initiatives
  • Familiar and comfortable working with technology in the digital space: ability and willingness to learn and adapt to current and changing technologies
  • Ability to learn digital platforms back-end functionality and experience in site maintenance, mass emailing, e-newsletter
  • Strong attention to detail; ability to complete, monitor, and adjust (as needed) expense reports and similar financial tracking 
  • Experience pulling reports from systems; ability to analyze some reports at a basic level

Preferred Qualifications

  • Bachelor’s degree
  • Proficient in Google Suite, Microsoft Office, videoconferencing and project management software
