Job Description

Description of Duties: Description of Duties:  The Classified III, Administrative Assistant, is directly responsible to the Dean of Instructional Services/Director of Institutional Assessment, Planning, and Effectiveness. The major areas of responsibility include the following:

 

  1. Serve as office receptionist, screen phone calls, greet visitors and route to appropriate personnel; receive and sort office correspondence and mail.
  2. Process and distribute correspondence, prepare for, record, type and disseminate minutes of meetings as requested.  
  3. Assist with departmental budgets: track and report expenses; reconcile purchase requisitions and travel vouchers.
  4. Assist with planning and organization of Advisory Committees.
  5. Compile Career and Technical Education program costs and approvals.
  6. Compile expenditure/revenue reports for Program/Discipline evaluations.
  7. Assist with Catalog revisions and Academic Council committee meetings.
  8. Assist with Gender Equity strategies and initiatives.
  9. Prepare contracts and invoices for high schools relative to Career & Technical Education programs.
  10. Prepare travel request and assist with making travel accommodations for conferences.
  11. Possess knowledge and skills in the use of Microsoft Office products. Ability to learn new software and participate in training opportunities as available to increase computer skills.
  12. Assist in maintaining, auditing, editing and posting of related materials to websites regarding instruction and assessment.
  13. Provide support in compilation of instructional and assessment data.
  14. Perform other duties as assigned by the Dean of Instructional Services; Director of Institutional Assessment, Planning, and Effectiveness; Vice President of Instructional Services, and the President.

Travel Required: Minimal travel between locations

 

Experience and Training: 3-5 years of administrative assistant duties.

 

Education: Minimum of a High School Diploma

 

Knowledge, Skills and Abilities: Excellent interpersonal and communication skills. Strong MS Office skill. Very detail/task oriented with strong organizational and time management skill. Able to work independently and efficiently; anticipate deadlines.

 

Preferred Qualifications: AAS in Administrative Office Tech, or business related field.

 

Minimum Educational Qualifications: High School Diploma

 

Salary or Salary Range: This is a 12 month full time position with full time benefits. The salary is based on the Classified III salary scale which is $25,441. This position will be open until filled. The position is available immediately.
