Job Description:

The Department of Chemistry is seeking a Manager, Accounting. This position is responsible for the overall administration of the Department of Chemistry’s fiscal staff and functions including accounting, purchasing, grants administration, and travel for a department that has approximately 50 tenure track faculty members, 10 teaching and research support faculty members, 50 staff members, over 250 graduate students, and more than 80 postdoctoral and other scientific associates. The position carries with it a high degree of financial responsibility and maintains budgetary control for the department’s various revenue streams including state allocations, research grant funding, indirect cost return income, private donations to the UF Foundation, and auxiliaries. This position maintains accurate ledgers detailing departmental expenditures and reconciles accounts to agree with the university’s PeopleSoft Finance System. The Manager, Accounting, is responsible for understanding and ensuring unit compliance with federal, state, university, and sponsoring agency regulations, policies, and procedures. Duties and responsibilities include, but are not limited to:

Responsible for managing the fiscal and accounting functions of a large department, while applying accounting principles and practices to these activities. Investigates and analyze accounting errors and work with appropriate staff to resolve the issues. Ensures compliance with applicable standards and for ensuring separation of duties with all processes. These duties include procurement, grants administration, reconciliation, employee reimbursements, scholarships, and material and supply and equipment use fee management.

  • Prepare departmental budgets, budget projections, and summaries of monthly expenditures on departmental accounts for review by the supervisor and department chair.
  • Responsible for oversight of all fiscal and financial transactions
  • Complete reconciliations of expense and payroll transactions for the department’s cash-based accounts, including state appropriations, foundation funds, IDC, faculty startups, centers, and auxiliaries, utilizing data from Enterprise Analytics’ Dynamic Cubes and department reports.
  • Process journal entries and spreadsheet journal entries.
  • Maintain Excel files documenting faculty start-up commitments and expenditures.
  • Provide oversight of 78 UF Foundation accounts and act as fund administrator for 39 of those accounts.
  • Balance the department’s OPS budget: the state appropriations funds utilized to pay teaching assistant stipends.
  • Communicate with the college budget director on a regular basis to ensure the department has received all the funds approved by the college.
  • Responsible for providing accurate data for Special Programs (UF Online, Distance Learning, Pre-Health, and Dual Enrollment) to the College. Track the revenues and expenditures for these special programs.  Review and complete reports related to these special programs.

Provide financial and administrative reports as requested or required by the chair, college, university, or other departments. This position is responsible for informing the chair of all financial activities on a regular basis.

  • Complete yearly summary of expenditure reports for the department’s 6 centers, including submitting reports online to the UF Office of Institutional Planning and Research.
  • Complete the service center rate review for the stockroom auxiliary, including analyzing costs to determine product pricing in compliance with federal laws. Works with Auxiliary Accounting, as needed, to manage auxiliaries.
  • Ensure costs are charged to the correct accounts and projects and adhere to the rules set forth by the university, federal agencies, and other governing bodies.

his position is responsible for:

  • Daily supervision, training, and cross-training for 5 fiscal office personnel.
  • Providing guidance and training to 12 Administrative Support/Academic Assistants whose duties intersect with the fiscal office regarding procurement, PCard reconciliation, faculty reimbursements, etc.
  • Review and approve budget transfers, journal entries, payroll cost transfers, travel and expense. reimbursements, purchasing, invoice payments, and scholarship awards.
  • Serves as the financial approver for travel and expense reports for the unit.
  • Responsible for interpreting fiscal rules and policies from the college and university, including Finance and Accounting, Procurement, and Contracts and Grants, with regards to personnel. Devises and implements new department policies as needed. 
  • Serves as a backup approver for Time and Labor.

Other duties as assigned by supervisor or chair.

Expected Salary:

The salary range is $60,500 - $70,000, commensurate with qualifications and experience, and the compensation includes a full benefits package.

Minimum Requirements:

A Bachelor’s degree in an appropriate area of specialization and six years of appropriate experience or an equivalent combination of education and experience.


Preferred Qualifications:

PeopleSoft experience preferred.  Experience with Microsoft Office and Teams is required.

Knowledge of accounting principles, practices and procedures and methods of data collection.

Ability to design and implement accounting systems and prepare financial reports.

Ability to analyze and interpret accounting information and maintain numerous accounting systems.

Demonstrated proficiency in state funds and sponsored projects accounting.

Strong PeopleSoft Enterprise Reporting system skills are preferred.

Excellent oral and written communications skills, personnel management skills and experience are preferred. 

Experience with grants management is a plus.
