Master Schedule Specialist
Job Description
We are currently seeking a Specialist to work with Master Scheduling on our Instructional Services team who will advance the institution’s proud tradition of excellence in academics, student life and community service. Come be a part of the Mosaic of HCC.
ESSENTIAL FUNCTIONS
Responsible for implementation of the HCC class schedule modules for SCH, CEU, AHS, and NCR instructional programs. Troubleshoot and train departments as needed. Responsible for the training and monitoring of classes in PeopleSoft.
Provide analysis of course offerings data to determine discipline/program overages, shortages, and enrollment.
Work closely with Instructional Deans and Department Chairs to ensure that instructional/curriculum needs and requirements are being met in the class schedule and in facilities across the District.
Assist the Coordinator, Master Scheduling, to develop and implement internal processes to enhance schedule input and reporting efficiency.
Responsible for other District Instructional monitoring processes such as the Contact Hour Discrepancy report.
Monitor the contact hour discrepancy report and work with Deans office to correct issues.
Responsible for adding additional faculty assignments to the Instructor Term Workload panel for each faculty in PeopleSoft; including but not limited to Alternative Assignments and Department Chair/Associate Chair Releases.
Respond to internal and external inquiries from Deans, Chairs, Program Directors, and staff.
Manually assign rooms for specialized courses that Ad Astra is unable to schedule via the Optimizer.
Obtain and maintain course preferences, software load lists, and room assignments in compliance with HCC policies and with set instructional/curriculum standards across the district.
Work with campus management to ensure that the instructional equipment is documented in the room scheduling software of record.
Ensure that approved ADA accommodation room preferences are programed into the room scheduling software. Ensure they are adhered to and make corrections if necessary.
Performs other duties, tasks and assignments as required.
QUALIFICATIONS
Education & Experience
· Associates Degree required. Five (5) years directly related work in Master Scheduling, college-wide scheduling, and/or multiple program semester scheduling experience may be substituted in lieu of required degree.
· Three (3) years’ related experience creating semester courses in mass quantities, room scheduling/space utilization using scheduling software in a higher education institution required.

Working Conditions
General office. May frequently be required to walk; stand; sit; use hands to handle or feel; reach with hands and arms; and talk or hear. Specific vision abilities required by this job include close vision and distance vision. Use of personal computing equipment, telephone, multi-functioning printer, photocopier, file cabinets, and calculator. Manual dexterity, ability to lift up to 25 pounds, ability to reach and bend, and use 2-step stool while safely lifting and lowering boxes. Ability to travel to and from meetings, training sessions or other business-related events. May be required to work after hours to include weekends and holidays.
