The Program Associate is the entry level position to program work at IFES. As a junior member of the Latin America and Caribbean (LAC) team, the Program Associate will provide administrative and programmatic support for current and developing programs in the Northern Triangle region: Honduras, El Salvador and Guatemala.

Job Responsibilities: Job Responsibilities:

  • Support the successful implementation of IFES’ activities in the Northern Triangle as needed.
  • Contribute to the preparation of programmatic reports, including biweekly, quarterly, and final reports.
  • Liaise with country office teams in the Northern Triangle to support administrative and technical assistance needs, and the collection of monitoring and evaluation data.
  • Review and submit country office financial documentation including wire transfers and vendor invoices to the supervisor for approval.
  • Review financial data for accuracy, check financial reports, review and reconcile credit card expenses.
  • Review/prepare/submit material for procurements including drafting request for proposals/quotations, preparing selection packages, and tracking existing contracts.
  • Support recruitment and mobilization of country office staff and consultants for in-country assignments.
  • Organize and maintain project files and documents.
  • Conduct research and provide general support in the proposal development process.
  • Provide administrative functions in support of the LAC department, particularly the Northern Triangle team.
  • Plan and expedite airline, hotel, and visa arrangements.
  • Provide support during department meetings and special events, including note taking, and prepare and assemble briefing materials as directed.
  • Support business development efforts across the Northern Triangle and other LAC areas as needed.
  • Other duties as assigned.

POSITION SCOPE: Provides the support necessary for the team to achieve its goals. Job duties are fairly straight-forward and require following common procedures and guidelines. Manages own workload, time, and priorities, with guidance from supervisor.
DECISION MAKING/PROBLEM SOLVING: Has the knowledge and skills to identify solutions to routine problems. Produces useful ideas or explanations for circumstances but may need guidance on execution for results. Understands and applies policies and proactively suggests solutions and improvements on issues.
FISCAL RESPONSIBILITY: Prepares routine financial reports in compliance with IFES policies and procedures. Processes routine transaction in compliance with IFES procedures, with supervisor review.
RELATIONSHIPS: Maintains collaborative working relationship with team members and other staff within the division. Initiates contact with staff in other departments to exchange information and coordinates activities necessary to achieve work goals.

Position Requirements:
EDUCATION: Bachelor’s degree required.
EXPERIENCE: 0 - 2 years’ relevant experience in international development or related field. Educational, professional, or personal experience and interest in Latin America and Caribbean, particularly the Northern Triangle, preferred. Internship(s) experience with an international NGO a plus.
RELATED SKILLS OR KNOWLEDGE: Experience with Microsoft Excel, Word, and PowerPoint required. Introductory experience in proposal development support a plus. Familiarity with USAID regulations helpful. Detail-oriented, proactive, and organized. Ability to prioritize, take direction, and handle varied tasks within deadlines. Strong communicator, both verbally and in writing. Collaborative, team oriented individual.
LANGUAGE SKILLS: Professional proficiency in both English and Spanish required.
TRAVEL: Travel may be required, up to 10%
