Lake Tahoe Community College (LTCC) District announces an opportunity to work directly with students, faculty, and staff as a front office assistant in the Instruction Office. This individual will serve as the first point of contact in the Instruction Office and will support all aspects of the office's work. LTCC is dedicated to meeting the educational needs of students, faculty, staff, and the surrounding community by providing the highest quality leadership, communication, support, and coordination of the LTCC's academic offerings.

APPLICATION PROCESS:
After review, suitable applicants will be invited to participate in a skills assessment stage of the screening process. These applicants will be notified by phone or email on or about Friday, December 2, 2022. Successful candidates will then be interviewed by a committee of 3 to 5 individuals; these interviews are tentatively scheduled for Monday, December 12, 2022. Meeting the minimum requirements does not guarantee an interview. LTCC reserves the right to return to the applicant pool at any point during the recruitment process.

COMPENSATION:
Salary Range: LTCC offers a competitive compensation package that includes a starting placement salary of $24,927 to $27,518 annually, dependent on education and experience. There is potential to reach $31,938 annually, through step advancement plus longevity when appropriate. In addition to base salary, this position qualifies for extra bilingual (Spanish), masters or doctorate pay.

Benefits: LTCC matches 25.37% of an eligible employee's salary and contributes it into a CalPERS pension account for qualifying employees.

Work-Life Balance: This positions is 28 hours per week and 12 months per year, including summer and winter hours. Hours are expected to be Monday-Friday, generally within the hours of 8 am to 5 pm, hours may vary according to the needs of the program. This position is eligible for overtime compensation (non-exempt) and may qualify for the telecommute pilot program, which allows employees the opportunity to telecommute for up to 20% of the work week.

LTCC provides 16 paid holidays per year plus 8.4 days vacation (with the potential to reach 16.8 days through years of service) and 8.4 days of paid sick leave per year. Furthermore, LTCC has made a commitment to full closures during holidays and several weekends adjoining holidays to provide employees the ability to take advantage of holiday and vacation usage.

Under the direction of the Vice President of Academic Affairs, perform a variety of clerical functions in support of the Instruction Office; assist faculty, staff, students and the public answering questions and providing information regarding program or department.

Distinguishing Characteristics:

This is the entry-level class in the Assistant series. Work is performed under direct supervision of a director or administrator. Position exercises less discretion and judgment in matters related to work procedures and methods. Work is usually supervised while in progress or is performed within specific guidelines and fits a pattern that has been established and explained before the work is started. Changes in work procedures are explained in advance as they arise. Impact on students, financial, physical, or personnel resources is generally department or division wide.

  • Receive and screen telephone calls and visitors; assist customer by answering questions or providing information; refer individuals to appropriate personnel as required; take and distribute messages; perform general clerical duties; type materials; compose flyers; perform data entry; order and maintain supplies; prepare purchase requisitions; monitor expenditures for department; collect appropriate fees and prepare accounting records.
  • Gather, compile and collate statistical information and other data; prepare reports; organize, establish and maintain record keeping systems for correspondence, documents, materials and records; record and log incoming information and follow up on missing or incomplete information; schedule appointments and meetings for supervisor; determine date and time and reschedule as necessary.
  • Accept and process forms, applications and general information requested by individuals; interact with faculty, staff, students and the public; interpret and provide technical guidance on regulations specific to assigned program(s); provide information on policies and procedures of department/work unit activities; handle personnel or administrative forms such as payroll timesheets for office department and forward for processing; may provide direction and oversees work of workstudy students; compose correspondence; copy, mail, fax and distribute materials; receive, open and distribute mail and perform other duties as assigned.

Education and Experience:

  • Any combination equivalent to: graduation from high school and one year of general clerical experience involving public contact.

      Knowledge of:

  • Modern office practices, procedures and equipment.
  • Reception and telephone techniques.
  • General clerical and record-keeping techniques.
  • Basic letter and report writing practices.
  • Correct English usage, grammar, spelling, punctuation and vocabulary.
  • Policies and procedures governing assigned work.

Ability to:

  • Operate standard office equipment, including a computer and related software.
  • Provide information regarding policies and procedures of assigned area.
  • Understand and follow oral and written directions.
  • Communicate effectively both orally and in writing.
  • Learn interpret and apply the rules and technical regulations of assigned program(s).
  • Work cooperatively with others.
  • Establish and maintain cooperative relations with students, faculty and the public.
  • Work with a diverse clientele.

Note: Bilingual Spanish skills may be required.
