The Department of Civil, Construction and Environmental Engineering offers undergraduate degrees in Civil Engineering, Construction Engineering, and Environmental Engineering. Graduate programs are offered with specialties in Computing and Systems, Construction Engineering, Water Resources, Coastal, and Environmental Engineering, Structural Engineering and Mechanics, Transportation Systems and Materials, Geotechnical / Geoenvironmental Engineering, and Mechanics and Materials.

With over 53 faculty, more than 770 undergraduate students, and over 300 graduate students, NC State University’s Department of Civil, Construction, and Environmental Engineering (CCEE) is one of the largest departments in the country and more importantly, one of the best. In 2022, our Environmental Engineering and Civil Engineering degrees were ranked 21st and 26th in the country, respectively.

At the graduate level, we offer traditional Master’s and Ph.D. degrees with the opportunity to specialize in a wide range of topics in civil, construction, and environmental engineering. We are also a leader in distance education. Students can earn a Master of Civil or Environmental Engineering degree without ever setting foot on campus. Essential Job Duties

The Front Office Administrative Support Specialist’s primary purpose in the position is to serve as the main point of contact for the Department of Civil Construction and Environmental Engineering while providing administrative support to the department.

The Front Office Administrative Support Specialist’s essential job duties are:
  • General Office Duties;
  • Greet all visitors and delivery personnel, manage incoming and outgoing packages and mail including FedEx; manage office supplies, manage Fax and Copier machines; Fax and Mail Distribution; Provides guidance to students; Keep dept directory boards and telephone lists updated;
  • Managing the front office and reception area within the CCEE department by assisting visitors and processing incoming/outgoing requests;
  • Serving as the lead contact person for supply inventory and processing general office requests for CCEE’s faculty, staff, and students;
  • Manage shipping and receiving of packages and mail distribution;
  • Managing and processing reservations request for meetings rooms for faculty, staff, and students;
  • Submit parking permits for visitors and department events;
  • Manage Office Equipment; Call for Repairs as needed;
  • Maintain Equipment Loan Inventory and Use logs as employees check in and out;
  • Serving as the liaison between the Executive Assistant, Business Officer, faculty, and staff for administrative requests;
  • Assist Executive Assistant with the coordination, set-up, and clean-up of departmental events, including ordering event supplies and food;

The Front Office Administrative Assistant performs these duties in a professional, confidential, and positive manner, and demonstrates the highest level of customer service, integrity, good judgment, and the ability to work well with a diverse team. The individual in this position will need the ability to work in a high-volume office with multiple interruptions and proactively seek to solve problems as presented by the department.

The successful candidate will have superior customer service skills with a strong desire to assist and proactively solve problems. The successful candidate will also need to have strong attention to detail, the ability to interact professionally with the diverse NC State community, the ability and willingness to adapt to changing priorities, the ability to organize and prioritize workflow effectively is critical; and the ability to respond to non-routine inquiries with calm, clear thinking.

Other Responsibilities

  • Assisting the Accounting Clerk, Finance Manager, and Business Officer, as needed, with financial transactions such as processing voucher payments, journal vouchers, WRS reporting, depositing checks, and other financial related requests as assigned;
  • Performing other duties as assigned, and special projects.

Minimum Experience/Education

High School Diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Other Required Qualifications

  • Ability to provide superior customer service, even in stressful or demanding times;
  • Ability to prioritize;
  • Strong organizational skills;
  • Must be proficient in Word, Excel, and email/calendar software packages. Demonstrated experience providing general office support for a high-volume office;
  • Must have excellent oral and written communication skills as well as excellent organizational skills;
  • Ability to present ideas in a clear, concise, and organized manner;
  • Ability to explain and interpret programs, policies, and procedures to meet the specific needs of the department;
  • Ability to Compose and organize ideas clearly and professionally works in multiple formats such as letters, memos, emails, etc.

Preferred Qualifications

Prefer NCSU / Higher Education experience, experience with PeopleSoft, and experience in a multi-faceted high-volume environment.
