DESCRIPTION
Mendocino College is hiring for a dynamic Accounting Specialist position that is focused on bi-monthly payroll preparation.

This is a full-time, Classified position.

This position may support other Accounting Specialists in their unique focus areas, however the main task for this recruitment is the payroll component of the job duties.

SALARY AND BENEFITS

Salary Range (25): The monthly salary range is $4,189 - $5,239 . There are five annual step movements; initial placement will be at step 1, unless approved by the Superintendent/President. Please see the current salary schedule here: MLCCD - Salary Schedule

Benefits: With no monthly premium contribution from the employee, we offer a comprehensive benefits package that includes family medical, dental, vision, EAP benefits and employee life insurance. Additional voluntary life insurance is available for employee purchase. Benefits are effective the first of the month following hire date.

Holidays and Paid Time Off: The successful candidate will earn twelve (12) days of vacation and twelve (12) days of sick leave per year. Vacation leave increases with the length of service. There are nineteen (19) paid holidays annually.

Retirement: This position is eligible for CalPERS Retirement.

 
REPRESENTATIVE DUTIES
This position may support other Accounting Specialists in their unique focus areas, however the main task for this recruitment is the Payroll component of the job duties.

The successful candidate will support institutional success by executing the following duties:

 
Payroll:
 
Processes one hourly and one salaried computerized payroll per month for faculty, classified, management, confidential, temporary, and student employees;

Calculates pay for short-term and student employees based on timesheets and change forms;

For all employees, enters salary, budget, and payroll code information into computer from change forms, salary input forms, and part-time faculty salary reports, along with information regarding W-4's, voluntary deductions, TSA's, health benefits, retirement benefits, IRS 125 plan, payroll taxes, and garnishments;

Runs a prelist report and proofs it for accuracy pursuant to audit requirements; delivers to the county office of education for final auditing and check printing; receives checks from the county office of education and distributes them to employees;

Maintains vacation and sick leave records; processes employment verifications and other requests for payroll information; prepares correcting journal entries as needed.

Accounts Receivable
Processes purchase orders and payments for college clubs and scholarships, charging to appropriate accounts;

Maintains revolving fund checking account, prepares entries for replenishing account;

Counts and receipts funds received; assigns budget codes;

Prepares bank deposits; delivers deposits to county treasury and bank;

Maintains cash receipts journal; logs in receipts and verifies that deposits have been made;

Prepares and tracks all invoices;

Processes bounced checks; enters into student debt system; works with students who need a payment plan;

Processes travel requests; prepares advances; reconciles travel claims;

Prepares cash boxes for departments and clubs;

Tracks and distributes student Stafford loan checks.

Accounts Payable
May check budget codes on purchase orders for available funds or assign budget codes in the absence of other staff;

Processes approved purchase orders, including a final review of purchase order; distributes approved/numbered purchase orders to vendors and staff;

Receives and reviews invoices; assures that charges are made to the approved budget code; facilitates resolution of problems and issues with vendors related to purchase orders and invoices;

Pays invoices; inputs invoice data into computer system; runs a prelist report and proofs for accuracy pursuant to audit requirements; delivers to the county office of education for final auditing and check printing, receives checks from the county office of education and distributes to vendors;
 

Bookstore/Office Supplies Purchasing: Maintains and monitors a district-wide computerized purchasing system of office supplies through a vendor internet system;

Receives inventory surplus requests; schedules, coordinates, and participates in district surplus inventory sales;

Compiles end-of-year Bookstore receivable, payable, and inventory amounts;

All:
Inventory: Maintains inventory records by tagging, entering data into computer, and balancing data to the general ledger for related funds;

Operates a variety of office equipment including a computer, spreadsheet, and data base software, calculator, copier and others as applicable;

Collects and compiles statistical and financial data and other information; prepares and maintains a variety of correspondence, reports, documents, forms, records, and files; assures proper controls for auditing purposes;

Receives inquiries from vendors, students, staff, auditors, and others; provides information and assistance regarding records, laws, policies, procedures, rules, regulations, and other issues in area of specialty;

Orders, receives, and maintains an inventory of office supplies and other materials; receives, opens, and distributes mail; receives and screens visitors and telephone calls; attends meetings and workshops as directed;

Performs related duties as assigned by supervisor.

Office environment; subject to interruptions and distractions.

QUALIFICATIONS
Must meet Human Resources guidelines for qualified hiring; including by not limited to a Live Scan background check and completion of TB test.

CONDITIONS OF EMPLOYMENT (Prior to beginning employment
