DEI and HR Programs Administrator

Job Description


Stanford University School of Medicine’s Department of Psychiatry and Behavioral Sciences is seeking an HR Programs and Special Initiatives Administrator who will be responsible for participating in the development, administration, and leadership of new and existing HR programs including initiatives related to equity and inclusion, rewards and recognition, onboarding and integration processes, learning and development, and other efforts to support and engage a distributed, hybrid (on-site/remote) workforce.

The Department of Psychiatry and Behavioral Sciences of Stanford Medicine has a great tradition of fundamental science, translational and clinical research, subspecialty expertise, multidisciplinary education, and influential leadership. The overarching aim of creating a better future is predicated on our shared pursuit of discovery across the basic, translational, clinical, and population sciences and on our collaborative efforts to translate new knowledge in our training of scientists and expert clinicians, in supporting the careers of outstanding faculty and learners, and in addressing the needs of communities, local and global. At present, the department has established five key mission areas, which include:

Reporting to the Director of HR Strategy and Operations, the incumbent in this newly developed role will work collaboratively alongside a team comprised of an HR Manager, HR Administrators, and a Postdoctoral Coordinator committed to supporting faculty, staff, and learners in the Department of Psychiatry and Behavioral Sciences.

Duties include:

Equity, Inclusion, and Diversity in HR Processes and Programs

  • Supporting the Associate Chair for Equity and Inclusion, staff the department Diversity, Equity, and Inclusion Advisory Committee
  • Partner in the development and lead of programs and initiatives that support equity and inclusion in department HR practices including sourcing, recruiting, and onboarding; leadership training and resource development; compensation and incentive programs; staff promotion and development opportunities; etc.
  • Partner with the School of Medicine’s Justice, Equity, Diversity, and Inclusion team and become familiar with related efforts across the institution to localize appropriate equity and inclusion initiatives and programs for the department

Employee Engagement and Program Management

  • Collaboratively plan, oversee, and lead projects from ideation through launch and completion
  • Provide leadership in areas related to staff engagement, including the management of the staff recognition program, virtual and hybrid onboarding programs, and other special initiatives.
  • Play a key role in the development of a Staff Engagement Team or other similar group(s) involving a cross functional team of individuals representing different areas of the department

People Metrics and Analytics

  • Develop staff surveys, and take a lead role in analyzing results, and making recommendations to enhance the employee experience, especially in a distributed and hybrid work environment
  • In coordination with the SoM data analytics and reporting team, maintain appropriate department dashboards, metrics, and charts to aid in decision making and aid in establishing HR goals and priorities
  • Review STAP Funds utilization and participate in proposing solutions for maximizing learning programs and opportunities

Policies and Procedures

  • Analyze and interpret policies; develop, revise and implement procedures for program or function
  • Leverage working knowledge of appropriate federal and state employment regulations in development and administration of programs employee programs
  • Maintain awareness of Stanford University and School of Medicine policies to assist in the interpretation and communication of policies to department leaders and other members

Communication and Outreach

  • In coordination with Director of Communications and collaboration with HR team, develop and maintain content for the department HR intranet site, ensuring it is updated with current and accurate information related to HR programs and activities.
  • May represent the department as a participant in School of Medicine-wide activities, including at 3CE meetings
  • May represent HR team on department committees including the Diversity, Equity, and Inclusion Advisory Committee; Wellbeing Committee, etc.

EDUCATION & EXPERIENCE (REQUIRED):

Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

  • Demonstrated ability to prioritize own work and multi-task.
  • Demonstrated excellent organizational skills.
  • Demonstrated ability to take initiative and ownership of projects.
  • Ability to communicate effectively both orally and in writing.
  • Ability to routinely and independently exercise sound judgment in making decisions.

  • Relevant subject matter knowledge.
  • Ability to direct the work of others, for jobs requiring supervision.

DESIRED QUALIFICATIONS:

  • Experience developing, leading, and exemplifying practices that promote equity and inclusion
  • Experience coordinating new projects or programs
  • Instructional design or other experience developing training and learning programs
  • Knowledge of change management principles and ability to leverage them in the development of new programs
  • Strong oral and written communication skills to aid in developing messages and materials on behalf of the department
  • Demonstrated ability to review and analyze data and make recommendations
  • Experience leading small teams formally or on a project basis
  • Comfortable leveraging technology to improve work processes (Smartsheet experience a plus)
  • Comfortable working in a distributed, remote, and/or hybrid work environment
  • Experience in higher education, academic medicine, or related industry preferred

PHYSICAL REQUIREMENTS*:

  • Constantly perform desk-based computer tasks.
  • Frequently stand/walk, sitting, grasp lightly/fine manipulation.
  • Occasionally use a telephone.
  • Rarely lift/carry/push/pull objects that weigh 11-20 pounds.
