Make-A-Wish Northeastern & Central California and Northern Nevada is currently seeking a full-time Donor Operations Coordinator (Hybrid) to join our team in our Sacramento (CA), Fresno (CA) or Reno (NV) location.

Salary Expectation:

  • $52,000 - $55,000 per year based on experience

Position Summary:
The Donor Operations Coordinator must have strong analytical skills and strong attention to detail in the coordination of data entry and facilitation of chapter fundraising and stewardship activities. This job requires a demonstrated ability to provide administrative support and exceptional customer service with a proven ability to manage multiple projects with minimal supervision in a deadline-driven environment.

What You’ll Do:

  • Performing accurate, timely, and comprehensive data and gift entry for all donations including, but not limited to, adding new constituents in the database, processing gift deposit batches, entering in-kind donations for events, tracking direct mail donors and online donations, and communicating new patterns of giving to the fundraising team
  • Serving as the subject matter expert in donor data entry and gift processing, you will ensure we stay in compliance with our business rules and meet all deadlines on time including, but not limited to, maintaining a three-business day turnaround on gift entry and tax receipting
  • Coordinating acknowledgement letters and donor appreciation thank you notes for chapter supporters
  • Entering all pledged donations, maintaining a detailed tracking system of open balances, and sending invoices to facilitate payment
  • Tracking Board Give/Get
  • Maintain well-organized filing systems in a paperless environment
  • Communicating with donors to facilitate taking gifts over the phone, in person, and at special events
  • Monitoring workplace giving to ensure that donors receive proper credit for gifts given through a company and verifying donations so that matching gifts can be obtained. Additionally, help track matching gifts for specific donations
  • Sending acknowledgment cards for all in memory or in honor donations received
  • Preparing accurate and timely reports, as requested
  • Ability to embrace new software and processes and lead the team in understanding and adapting these systems
  • Communicating progress to goal with data and integrity to key internal and external stakeholders
  • Collaborating across the organization to support the experiences of donors, volunteers, and wish families
  • Consistently deliver an innovative, creative, and exceptional donor experience
  • Serve as the registration lead for at least one internal event each year
  • Other duties as assigned

Education and Experience

  • High school diploma or general education degree (GED), bachelor’s degree a plus
  • 1 - 2 years of experience in a data-driven environment
  • Previous experience with repetitive data entry; some data management or database maintenance skills
  • Familiarity with Salesforce is a benefit, but not required

Required Skills and Abilities

  • Ability to review and analyze data to inform the creation and execution of data-driven strategic plans that generate strong outcomes
  • Strong attention to detail
  • Intermediate or advanced knowledge of Excel
  • Proficient in basic computer applications including SharePoint
  • Exceptional communication skills, including the ability to write clearly and persuasively and speak with passion and authenticity
  • First-class project management skills and the ability to manage multiple projects at the same time
  • Ability to connect and communicate with different types of people
  • Excellent customer service skills
  • Driven self-starter who works efficiently and effectively with little oversight

Time Commitments:

  • Full-time, non-exempt employment status
  • Occasional evening or weekend fundraising events, as needed
