SWP (Speak with Purpose), formerly known as We.APP (We Act. Present. Perform.) is the only youth public speaking program in Washington State. We partner with many Seattle Public Schools, primarily instructing grades 4-6, with a special focus on Title 1 schools and the BIPOC community. Our Teaching Guides/Artists incorporate our dynamic curriculum into the school day to integrate arts education with student voices to develop independent learners with self-authored identities. Our goal is to reimagine traditional classrooms, promote equity through collaboration with teachers, and guide student education by elevating agency, and collectivism and amplifying their voices to nurture brilliance, imagination, and leadership.

Position Summary

Our growing nonprofit seeks a creative and skilled individual to join our team as an Executive Assistant to support the Executive Director. You will often serve as the Executive’s “right-hand person,” connecting organizations, projects, and critical business information to the Executive Director, ensuring meetings and materials are efficient and effective and enabling them to advance company initiatives and goals.

This role will coordinate and manage executive scheduling, prepare and organize important strategic materials and plans, support board meetings and the preparation of board materials. The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the Executive Director’s needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals, including staff, the Board of Directors, and partners. To perform this job successfully, the individual must handle highly sensitive and confidential financial, legal, personnel, and institutional information while exercising professionalism and discretion.

Roles & Responsibilities

  • Work directly with the Executive Director to support all aspects of their daily work routine;
  • Coordinate work with other staff as needed; play a key role in coordinating staff efforts;
  • Organize and oversee the schedules and work of assigned staff and external contractors, including timesheets and payroll;
  • Provide coordination, monitoring, and communication of SWP projects and programs;
  • Determine priority of matters of attention for the Executive Director; redirect matters to staff to handle, or handle matters personally, as appropriate;
  • Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials;
  • Attend meetings and take discussion notes; prepare the initial draft of minutes and summaries;
  • Complete various special projects, including marketing, social media, presentations, financial spreadsheets, special reports, and agenda material;
  • Maintain confidential and sensitive information;
  • Routinely perform a wide variety of support duties; and
  • Other additional and/or alternative duties as assigned from time to time.

Minimum Qualifications

  • Demonstrated ability to build working relationships and partnerships with individuals of various ages, cultures, socioeconomic backgrounds, and abilities.
  • Detail-oriented with a high level of accuracy;
  • Ability to develop work plans, manage multiple projects simultaneously and work independently in a high-paced, deadline-oriented environment;
  • Exceptional written, oral communication, and interpersonal skills.
  • Demonstrated resourcefulness in setting priorities, proposing efficiencies, and guiding investment in people, systems, and facilities; and
  • Ability and aptitude with Google suite, Microsoft, video conferencing, and other software and technology necessary for successful day-to-day functioning in business environments.

Desired Experience

  • Associate or Bachelor’s Degree;
  • 2-3 years experience in supporting a senior executive or team; and
  • 2-3 years experience in nonprofit, foundation, government or similar organization.

Job Types: Temporary, Contract, Part-time

Pay: Up to $30.00 per hour
