Full Job Description
Essential Functions/Responsibility:
- Drive logistical coordination to support revenue growth through well-executed event planning and implementation for each of the events.
- Ensure the delivery of a mission centered, inspiring, and exceptional event experience for all participants.
- Reserve and secure venue for assigned events by predetermined deadline; identify and recommend new venues as necessary
- Secure vendors for all events. Maintain a focus on cost saving measures by ensuring appropriate bidding process for multi-site vendors (including rentals, communication equipment, entertainment equipment, food vendors, security) whether paid or in-kind
- Responsible for all elements of event safety guidelines
Monitor expense budget for events and maintain accurate records of all invoices and expenses ensuring excellent stewardship of society resources. - Responsible for purchasing, packing and distribution of specified event supplies before, during and after each campaign
- Create and manage logistics/production timeline for all events; adhere to deadlines and communicate progress to supervisor, identifying potential roadblocks or challenges
- Determine and communicate on-event staff assignments in conjunction with development team partners
- Oversee and facilitate pre, post and on-event production meetings with appropriate staff (include volunteer engagement and production company when necessary)
Other duties may be assigned as needed to support event operations
- Submit requests for auction items, ensure timely follow up and track items through procurement process
- Partners with volunteers to accomplish our work including day of event volunteers.
- Collaborates with key staff to maximize engagement and results of committees to enhance event experience and safety, including ensuring proper training
- Responsible for the hiring, onboarding, and continued development of direct reports
- Conduct regular check-ins to monitor progress, provide feedback, and offer guidance and support where needed to ensure staff is fully supported in their role
- Ensures staff have the tools, knowledge, and resources necessary to perform job duties effectively as well as opportunities for professional development
- Coach and collaborate on goal-setting and professional development plans and conduct formal and informal performance conversations
- Hold staff accountable to the cultural values of the organization and ensure they follow Society operating principles
Requirements:
- Bachelor's Degree or relevant years of experience will be considered in lieu of a degree
- Four+ years of progressively responsible experience in special events coordination, fundraising, project management, marketing or sales preferred.
- Supervisory experience preferred but not required.
- Experience taking a project/event from conceptualization through implementation a plus
- Ability to multi-task, prioritize and organize while acting to achieve specific results.
- Strong initiative with the ability to monitor multiple projects with competing priorities
- Ability to establish strong collaborative relationships and work with others in a cooperative and effective manner.
- Ability to adjust and maintain effectiveness in the face of multiple demands, challenges.
- Attention to detail is a must
- Great communication both verbal and written
- Strong relationship building and communication skills with the ability to build trust and motivate staff and volunteers to perform at their best to achieve strategic business outputs
- Microsoft Office Suite and Outlook knowledge required. Blackbaud and InDesign background a plus.

- This position will be required to drive/travel on Society business. Candidate must possess a valid driver's license, proof of insurance and reliable transportation. The Society does run motor vehicle checks for all positions which require driving, and the applicant must meet the Society guidelines.
- Availability to work occasional nights and weekends to support events, committee meetings, etc.
Estimated hiring compensation range for this role is $48,700- $57,900 based on our average compensation schedule of Denver, CO. Final offers will be based on candidategeographic location and consider career experience and may vary from this range due to these and other factors.
