Posting Summary
Rutgers, The State University of New Jersey is seeking an Executive Assistant to the Director/Chief of Staff for the Rutgers Center for Tobacco Studies. The Executive Assistant/Chief of Staff provides high level confidential staff support to the Office of the Director. The Executive Assistant provides a broad range of administrative, organizational, and functional coordination of Central Administration activities and assists the Director on a broad range of internal and external activities that pertain to the mission of the Center. These activities and responsibilities are primarily accomplished through interaction with management personnel within the Center and in combination with faculty, Directors, staff, students, and representatives of University administration.
Among the key duties of this position are the following:
  • Provides high level confidential support to the Director and the leadership team, working independently to perform the essential duties of the position and maintains liaison between the Center and other units within University.
  • Oversees the maintenance and organization of the Director’s calendar, including meetings, conference, and travel arrangements.
  • Plans and organizes logistics for appointments to prioritize use of the Director’s time. Prepares meeting materials as necessary.
  • Assists the Center Director and leadership team with the oversight of the administrative personnel.
  • Manages priorities in a fast-paced environment on a broad range of problems and questions and develops options for immediate resolution.
  • Prioritizes scheduling demands and coordinates information flow and inquiry requests directed for action by the Director’s office based on source of inquiry, nature of issue, and response time frame.

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility . Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC). Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine . Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Qualifications


Minimum Education and Experience
  • Bachelor’s Degree in Public Health, Business Administration, Education Administration, Healthcare Administration or other relevant field.
  • Five (5) years of progressively more responsible related professional and/or academic administrative.
  • Equivalent experience, education and/or training may be substituted for the education requirements.
Certifications/Licenses
  • Valid Drivers License.
Required Knowledge, Skills, and Abilities
  • Ability to work well with all levels within the organization, including school/university officials, faculty, staff, and students with diplomacy, executive maturity and sensitive human relations skills.
  • Computer literate with proficiency and working knowledge of database and reporting tools including Microsoft Office.
  • Flexible regarding work hours in order to accommodate the demands of the Director’s Office.
  • Excellent verbal and written communication skills.
  • Ability to travel between University campuses (Newark, Piscataway, New Brunswick, Camden).

Preferred Qualifications
  • Master’s Degree in Public Health, Business Administration, Education Administration, Healthcare Administration or other relevant field.
