Reporting to the Senior Coordinator, Portland Center, this position provides administrative assistance and support to an assigned team of development officers, as well as general office administrative support to the OSU Foundation Portland Center.

Work Location

This position will work out of the Portland, Oregon office of the OSU Foundation

Key Partners – The key working relationships for this position include:

  • Senior Director of Development and development officers in the Scholarship & University Initiatives and OSU-Cascades fundraising units
  • OSU Portland Center facilities and administrative staff
  • Oregon State University administrative staff supporting Student Affairs, Enrollment Management, Extension and Engagement, OSU-Cascades, colleges, and other university departments

Measures of Success

  • Professionally represent the OSU Foundation with external and internal constituents including contact with alumni, donors, volunteers, and campus colleagues
  • Provide high-quality administrative support to the fundraisers in their cultivation, solicitation, and stewardship of donors
  • Maintain a professional, well-functioning work environment for OSUF Portland colleagues

Major Duties

Development Assistance

  • Provide administrative support to a Senior Director of Development, and to team of development officers; make travel arrangements, prepare reimbursements, schedule meetings, and develop needed materials, conduct meeting follow up, as needed, perform database data entry including contact reports, proposal entry, engagement coding, etc.
  • Help coordinate events and carry out event logistics.
  • Participate in meetings with campus partners as needed.
  • Draft and distribute briefings for events, donor visits and potential donor visits.
  • Draft Gift Agreements as directed by the Development Officer (obtain signatures as needed).
  • Write, edit, and distribute communication materials for various audiences.
  • Perform budget administration, tracking expenditures, event budget management, credit card reconciliations, and payment requests.

Office Assistance

  • Provide day-to-day support of Portland office functions including, but not limited to greeting visitors; processing mail; budget management; providing basic technical support; maintain inventory and order office supplies as needed; maintain a professional and welcoming office
  • Develop and maintain office procedures, guides, and policies, including, implement changes for streamlining processes and increasing efficiencies.
  • Provide event support; reserve conference rooms, arrange catering, set up AV, track attendance, serve as primary contact for reservations.
  • Serve on OSU Portland Center’s safety and emergency preparedness team.
  • Coordinate Portland staff meetings, social gatherings, annual Food Drive, and other activities in partnership with Talent Management.
  • Serve as back-up technical support, trouble-shooting basic IT and AV issues.
  • Serve as back-up administrative support to Vice President of Donor Engagement.
  • Perform other duties as assigned.

Required Knowledge, Skills, and Abilities

Comprehensive knowledge of:

  • The mission and purpose of the OSU Foundation

Ability to:

  • Handle interpersonal relationships maturely, thoughtfully, and empathetically, including the ability to work with individuals from diverse backgrounds
  • Understand and support the workload and work needs of the fundraising team that is supported
  • Provide excellent customer service
  • Maintain discretion and confidentiality at all times
  • Interface professionally with people from all levels of the OSU Foundation & Alumni Association; OSU, and the Portland community at large
  • Provide exceptional and courteous customer service to key partners, colleagues and internal / external customers of the Foundation, including donors, volunteers, campus partners, etc.
  • Be proactive and / or respond to urgent problems and unexpected requests in a timely manner

Proven skill in:

  • Proficient use of computer software, including Word, Excel, PowerPoint, Outlook and CRM database
  • Excellent written and verbal communication skills to both internal and to external audiences.
  • Trouble shooting basic IT and AV issues

Minimum Qualifications

Four-year degree and three years of experience as an administrative assistant, or related administrative experience using similar knowledge skills or abilities. Education and experience equivalencies will be considered. Candidates must possess a valid driver’s license and must be able to travel by varying modes of transportation.
